Office/Financial Assistant (New Jersey)

New Jersey based construction company seeking office assistant. Must have office experience, computer knowledge, be able to multitask, and perform all types of Administrative duties such as the following:

Have knowledge of Sage 50 accounting software or related Sage accounting software products and/or proficiency in QuickBooks Software.

Have knowledge of AIA Contracts and AIA Billing. The candidate must have some knowledge of the percentage of completion billing format style.

Track and input invoices to the Sage Accounting system.

Acquire and file subcontractor insurance certificates.

Reconcile company credit card statements.

Maintain & reconcile vendor billing statements.

Provide POs to field workers.

Input statement and receipt costs to PO log when received.

Track and input invoices to the Peachtree system.

Print company checks.

Assist in audit preparation.

Procure various licenses.

Assist in obtaining DOB permits.

Handle general mailbox e-mails.

Update and maintain client and subcontractors’ logs in the Google Drive.

Update documents and maintain the Google Drive.

Review Daily Construction Reports and site attendance submissions.

Provide payments to subcontractors.

Provide partial and final lien waivers to subcontractors.

Provide final and partial lien waivers to architects on client billing.

Basic office work, answering telephones, receiving material orders, sorting incoming and outgoing mail.

Health insurance available.

New jersey based construction company operating in NYC.

Will include days working in the office alone.
