Looking for part time secretary - Monday Wednesday Friday 8:30-4:30pm, can be somewhat flexible on start and end times. Located in Hawthorne, currently.

Responsibilities:

Answer and direct phone calls, emails, and other communications in a professional manner.

Manage scheduling, appointments, and meetings for the team.

Prepare and maintain various office documents, including contracts, permits, and invoices.

Assist with customer inquiries and provide support throughout the project lifecycle.

Maintain filing systems, both electronic and paper, ensuring records are accurate and up-to-date.

Coordinate and support logistics for on-site activities, ensuring all necessary documentation and materials are available.

Handle office supplies and equipment inventory, ordering as needed.

Support project managers with administrative duties related to ongoing excavation projects.

Qualifications:

Proven experience as a secretary or administrative assistant (construction or excavation industry experience preferred).

Proficient in Microsoft Office Suite QuickBooks (Word, Excel, Outlook, etc.) and office management software.

Strong organizational and multitasking skills.

Excellent written and verbal communication skills.

Ability to work independently and as part of a team.

Detail-oriented and able to manage sensitive information confidentially.

Knowledge of basic construction industry terms and processes is a plus.
