Description We are offering a short-term contract employment opportunity for an Administrative Assistant near Paramus, New Jersey. This role revolves around ensuring the smooth running of our office environment and assisting in various administrative tasks. You will be part of an industry that requires high-level organizational skills and the ability to handle multiple tasks simultaneously.Responsibilities: Efficiently answer and transfer calls, managing communication within the office. Utilize Microsoft Word to create proposals and maintain a systematic filing system on the computer. Learn and execute the process for assigning new project numbers. Handle incoming mail and distribute it accordingly. Coordinate FedEx shipments and schedule pickups as required. Demonstrate a willingness to learn and use QuickBooks for various tasks. Manage filing tasks, ensuring all important documents are stored and organized efficiently. Distribute incoming mail amongst team members and departments as required. Handle inbound calls, providing information or directing the calls as necessary.Requirements Proficient in utilizing QuickBooks for financial tasks and record keeping Experience in managing calendars and coordinating appointments Able to efficiently distribute incoming mail to the appropriate individuals or departments Familiarity with UPS and FedEx for package handling and shipping Proven ability to answer inbound calls professionally and provide excellent customer service Responsible for maintaining and updating filing systems for easy data retrieval Excellent written and verbal communication skills Strong organizational skills and attention to detail Ability to multitask and manage time effectively Demonstrates professionalism and maintains confidentiality Ability to work independently and as part of a team Proficiency in MS Office Suite Previous experience in an administrative role is preferred High school diploma or equivalent is required, higher education is a plus.
