Our fundamental beliefs are based on five core values, Integrity, Innovation, Compassion, Commitment, and Expertise. The Business Office Manager is responsible for business related activities of the community, including but not limited to payroll processing, accounts receivable, accounts payable, personnel files and resident files. The Business Office Manager is also responsible for supervising the front desk staff and ensuring that compliance with all regulatory standards is maintained. The position also requires strong customer service orientation and problem solving skills. Essential Duties and Responsibilities General management responsibilities include, but are not limited to overseeing and accepting the final accountability for the following either directly or through designated staff: 1. Processing all employee payroll in a timely manner. 2. Complete and maintain all employee documentation in personnel files. 3. Maintain security of business office files and accounting support documents. 4. Notify Executive Director of any questions or irregularities in accounting data and/or materials. 5. Assist employees with benefit information; answer questions, assist with enrollment and any subsequent changes. 6. Maintains online training program with current employee names and provides Executive Director with reports of monthly required completed in-services. 7. Maintain employee performance review scheduling system and distribute to managers; follow up on delinquent reviews to ensure compliance with the performance review policy; provide monthly report to the Executive Director. 8. Provide daily labor reports to the Executive Director and department manager's on labor scheduled and worked from payroll system in the flash report. 9. Responsible for maintaining proper documentation of received payments and deposits; Responsible for maintaining payment records for residents of the Community and keeping Executive Director informed of all late payments. 10. Works closely with the Executive Director in proper coding of invoices and maintaining Flash report with current month's invoices.; All invoices will be given to the Executive Director daily for their approval; Send invoices to Seasons Management weekly, after scanned and put in Drop Box. 11. Maintains accurate records for all Accounts Receivable (including collections), Accounts Payable, Payroll, and Petty Cash and resident spending accounts. 12. Complete all Move In and Move out forms with residents, prepare all resident agreements and go over with residents at signing. 13. Assist in orienting new residents and conduct all new move in paperwork appointments; ensure all signatures are obtained. 14. Maintain resident records and files, ensuring accuracy and completion of residency agreements; Ensure adequate follow-up for special agreements/renewals.
