We are a small landscaping business committed to water conservation, xeriscaping, organic and chemical-free practices, and efficient customer service. We seek a full-time employee for the position of Office/Business Manager. This is a seasonally busy, spontaneous work environment that requires both organization skills and flexibility to schedule changes.

RESPONSIBILITIES INCLUDE

***Daily Tasks***

• Respond promptly to client communications: e-mails, voicemails, phone inquiries, text messages

• Facilitate efficient and accurate team communication between owner, crew, accountant, and web designer

• Maintain hard and electronic calendars

• Maintain up-to-date client files and contact information in Quickbooks, Gmail, and Mailchimp audience.

• General office administration such as organization, filing, ordering materials such as team uniforms, business cards, etc…

***Other Tasks***

• Oversee printing, distributing, and receiving of crew work orders and time sheets

• Timely invoicing of clients

• Share payroll hours with accountant for check and tax processing

• Utilize Mailchimp platform to send quarterly emails to clients

• Upkeep functionality and safety of office software, phone, computers, printer & shredder

• Occasional website maintenance and design; familiar with WordPress

• Other miscellaneous tasks as needed

REQUIRED QUALIFICATIONS

College education or equivalent work experience

Excellent communication skills and friendly disposition

Self-motivated with the ability to anticipate/establish efficient workflow processes

Familiarity with office workflow and records maintenance of a small business

Computer proficiency and ease

Attention to detail & ability to stay focused on efficient task prioritization

A high level of reliability and excellent organizational skills

Ability to keep business and personal information confidential

Familiarity with Quickbooks desktop

Sensitivity and respect to private spaces within/around office location

PREFERRED QUALIFICATIONS:

Bilingual in Spanish and English

Familiarity with Adobe Lightroom

Experience with Wordpress/website design

Passion for sustainability
