Automotive Resources is looking to expand our outstanding team with a Service Advisor Assistant. We’re a highly rated and respected independent automotive shop in Santa Fe and we are looking for an enthusiastic individual to join our team as the friendly and professional face of our business. This role is crucial in creating a positive first impression and ensuring our customers feel welcomed and valued from the moment they interact with us.
The Service Advisor Assistant role is an important part of being able to provide a top-tier experience for our customers and combines customer service, fundamental service advisor responsibilities, schedule management as well as internal and external communication.
Service Advisor Assistant responsibilities as follows:
-Greet service customers in a friendly, professional manner when they arrive in the service reception area.
-Assist in scheduling service appointments via phone, online, or in person.
-Answer incoming calls regarding service inquiries and help direct them appropriately.
-Maintain the service appointment calendar and communicate updates to the Service Advisor.
-Prepare and organize work orders, customer files, and inspection documents.
-Process customer check-in: collect vehicle info, verify contact information, explain service process, and record any customer complaints or concerns
-Assist in ensuring customers are kept informed of vehicle status, estimated repair times, and relevant changes throughout the repair process
-Assist in coordinating detailed inspections or additional diagnosis between customers and technicians
-Assist with customer check-out: explain work done, verify satisfaction, schedule follow-up if needed and collect payment
-Maintain waiting area: ensure cleanliness, refreshments, reading materials are stocked, and customers are comfortable while waiting.
-Handle basic administrative tasks: data entry, filing, invoicing support, tracking warranty/recall work as instructed.
Qualifications:
-Previous experience in a customer-facing role is required with preference given to candidates with experience in an automotive or dealership service environment
-Strong communication skills, both verbal and written, with the ability to compose emails and clearly summarize verbal descriptions from customers
-Bilingual (English/Spanish) is a plus
-Excellent organizational skills, attention to detail, ability to multitask and work in a dynamic environment.
-Comfortable with computers and ability to learn shop management software, CRM systems, and standard Microsoft Office suite.
-Customer‐focused attitude with the ability to handle challenging situations calmly and professionally.
-Valid driver’s license and clean driving record
-Ability to remain on feet for extended periods, mobility to walk in/around service bays and ability to carry parts up to 40 pounds.
Schedule
Monday-Friday from 8:00am to 5:30pm
In-person only – remote/telework not available
