Duties Description The New York State Department of Agriculture and Markets is seeking one Office Assistant 2 to support the Local Food Purchase Assistance (LFPA) program within the Division of Agricultural Development. As an Office Assistant 2, you are pivotal in ensuring the efficient processing and management of program claims. Your responsibilities include receiving and conducting an initial review of claims for accuracy and completeness, ensuring that all required expense documentation is included. Once verified, you forward the complete claims package to the program managers for further review. In addition to claims processing, you are tasked with reviewing the contract budget and having a solid understanding of the program's allowable activities and expenditures. This knowledge enables you to determine the eligibility of expenses accurately. You also serve as a key point of contact for awardees, communicating with them to collect any missing documentation and progress reports. You provide essential assistance by answering questions related to claims submission and distributing necessary program documents to facilitate the process. To ensure the smooth operation of the claims approval process, you maintain an organized claim tracking spreadsheet, recording the claim's progress as it moves through various levels of approval within the program and division. Furthermore, after receiving approval from the program manager, you process contract extensions and modifications within the State Financial System, ensuring all changes are documented and integrated seamlessly into the existing framework.This position is designated as temporary and will last for a duration of 12 months.
