Payroll Administrator The Payroll Administrator will work in a centralized payroll function and process payroll for all US employees including hourly, salary, and union employees across multiple jurisdictions and in compliance with federal and state laws. Process weekly and bi-weekly payrolls
Process the salaried and hourly payrolls for multiple business units
Check ADP timecards for completeness and accuracy and coordinate correction with site manager
Audit timecards and import and balance hours from ADP time system
Calculate manual checks, stop payments, and direct deposit reversals as needed. Ensure the correct adjustments are updated in the ADP systems
Enter bonus, relocation earnings, and other payroll adjustments in ADP, as needed; ensure accuracy of 401k and W-2 reported wages
Submit the weekly & biweekly payroll to ADP once all adjustments are completed by the 2pm deadline
Manage employee payroll data and changes
Process new hires, terminations and status changes in ADP Workforce Now, including managing direct deposits, wage garnishments, payroll deductions; and proper set-up of federal, state and SUI tax withholdings
Maintain employee records in ADP; review and validate all employee data changes presented in the HCM Cloud to ADP interface output file on a weekly basis
Ensure accuracy in new hire reporting to government agencies; ensure wage and hours reporting complies with federal and state regulations
Support employee inquires and process enhancements
Respond to employee and management inquiries in a timely manner using the Oracle OTRS ticket system
Detect and reconcile payroll discrepancies and effectively communicate with management and employees on payroll related issues in a timely manner
Review and analyze payroll processing procedures; recommend, support, and implement process improvements
Generate payroll reports
Generate wage and overtime reports for various business units; time and attendance hours reporting; voluntary deduction reporting, including 401k and benefit deductions. Distribute to company management and other personnel on a weekly or biweekly basis ensuring salary information is confidential
Report and certify employee wage earnings for NYS Department of Labor and Worker’s Compensation Board
Customize and run payroll reports using ADP Reporting to assist the payroll manager with various audit requests, including Worker’s Compensation policy audits, 401k audits, and other internal and external audit requests
Review and validate the quarterly and year-end wage and tax registers for sites
Assist the Payroll Manager in reconciling GL interface and payroll accounts
Provide support to other team members as needed and special projects as assigned
Education, experience, certification and licensures Required
· Bachelor’s degree in Accounting or related field
· Minimum 7 years relevant experience
Preferred
· Certified Payroll Professional (CPP)
Knowledge, skills and abilities
Knowledge of ADP Workforce Now, ADP eTime and ADP Reporting
Must be proficient in Microsoft Excel
Ability to understand and improve systems & processes including interfaces between Oracle HCM Cloud, general ledger, SAP, T-Rowe, ADP Workforcenow and ADP eTime / Workforce manager
Excellent communication skills with the ability to interact at all levels of the organization
Able to read and interpret payroll, benefits and union documents, and able write routine reports and correspondence
Ability to speak effectively before groups of customers or employees of organization
Ability to calculate figures and amounts such as salary increase retros, union dues and pension
Ability to apply concepts of basic algebra and solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
