Duties Description Under the direction and supervision of the Senior Manager and the Program Manager, the Project Coordinator will provide support for the New York Clean Water State Revolving Fund (CWSRF), Green Innovation Grant Program (GIGP) grants, and a variety of other financial assistance programs that predominantly focus on providing funding for water quality infrastructure projects from state and federal sources. Primary responsibilities include assisting clients during the application and grant execution process; working with clients as part of a team to review and determine clients’ financial needs; informing them of program requirements; coordinating meetings and preparing communications with internal divisions and external partners including local government officials, the public, regulatory agencies, and various State and Federal agencies; and preparing and analyzing data.Essential Duties· Collaborate with other EFC divisions to facilitate the execution of grant agreements.· Establish and maintain working relationships with municipal officials, their consulting engineer and others regarding contracts and other documentation and provide assistance from initial project planning and development through construction completion and project closeout.· Review documentation, including application-related information and contracts, for completeness and adherence to project and program guidelines.· Prepare and maintain electronic files pertaining to projects and programs.· Track and monitor projects and programs using databases, spreadsheets, and other tools, produce standard and ad-hoc reports and recommend tracking adjustments, as necessary.· Research and compile information about projects and programs and distribute it to appropriate managers and staff.· Assist in preparing correspondence to staff, municipal officials, and other outside entities regarding the financing and grant process.· Help prepare presentations, coordinating mailings, and handling program contacts via telephone and electronic mail.· Accompany EFC engineers to project meetings and independently conduct routine construction site visits.· Verify that adequate and eligible documentation has been submitted to support the disbursement of project funds. Maintain database records for all invoices, contracts, agreements, and change orders submitted in support of disbursement requests.Working Conditions and Physical AbilitiesWork is performed in an office setting, with extended periods of sitting and fine motor skills required for computer use.
