If so, Conax is looking for an Administrative Assistant to join our team and be our front-line receptionist for our Buffalo headquarters!This position would work 3 days a week 8:30am to 5:00pm.

Office Management:

Manage and organize office supplies, ensuring inventory is stocked and reordered as needed.

Maintain a clean and organized work environment.

Communication:

Answer and direct phone calls, emails, and other forms of communication.

Draft and proo correspondence, memos, and reports.

Liaise with internal teams and external clients, handling inquiries promptly and professionally.

Scheduling and Calendar Management:

Schedule appointments, meetings, and conference calls for team members or executives.

Maintain calendars, ensuring that all meetings, deadlines, and events are efficiently organized.

Arrange travel and accommodations for staff or clients as needed.

Document and Data Management:

Organize and maintain files, records, and documentation, ensuring easy access and retrieval.

Prepare and process forms, reports, and documents in a timely manner.

Ensure proper confidentiality of sensitive documents and information.

Meeting and Event Coordination:

Organize logistics for meetings, conferences, and company events, including catering, room setup, and materials preparation.

Prepare agendas and take minutes during meetings when required.

Financial Support:

Assist with expense tracking, invoicing, and maintaining financial records.

Prepare and submit purchase orders, invoices, and receipts as needed.

Other Administrative Support:

Provide general support to executives, managers, or team members as required.

Assist in the preparation of presentations, reports, and other documentation.

Handle special projects or tasks as assigned by management.

Salary ranges for this position is determined based on experience, reflecting our commitment to valuing the expertise and contributions of our individual teammates. The salary range for this role is $18 - $20 hourly.We are an Equal Opportunity Employer who values its people at all levels.
