NYIT's de Seversky Mansion is seeking an Administrative Assistant to join their team!

Serves as a liaison to prospective clients, NYIT students, faculty, staff, and administration. The primary responsibilities include but are not limited to:
- Receive and forward all call and email inquiries to the appropriate department.
- Screen and record event inquiries through the property management software.
- Receive and expedite all client inquires for catered NYIT events at the de Seversky Mansion.
- Arrange and give tours to NYIT clients interested in hosting event at the mansion.
- Generate, propose, and review contracts and sample menus with potential NYIT clients.
- Attend weekly BEO meetings with the sales team, culinary, service and housekeeping team for set-up, logistics
and execution as it pertains to NYIT events.
- Follow up on messages or inquiries received to ensure they were addressed appropriately.
- Process daily deposits, complete daily spreadsheet and send to Accounting Department.
- Use the Oracle database system to insert all requisitions for purchase orders, attach all invoices to the PO, and
submit to accounts payable for payment..
- Confirm all scheduled appointments and send driving directions to all guests visiting the mansion.
- Maintain file system and organize all proposals, contracts, payments, events details and invoicing files.
- Other duties as assigned.
Principal Qualifications:
- Bachelor's Degree required
- 1-3 years experience as an Administrative Assistant preferred
- Experience within catering environment as an Administrative Assistant strongly preferred
- Advanced computer skills including word processing, spreadsheets, desktop publishing and brand property
