Job Description

Here's what you'll be doing:

Employee Onboarding

  • Communicate and serve as the point person for all newly hired employees through the completion of the employee onboarding process.
  • Ensures compliance with USCIS Form I-9 Employment Eligibility Verification; periodically audits Forms I-9.
  • Manage and track pre-employment mandate submissions from former employers of new employees.
  • Provide daily support with updating and tracking summer, mid-year and emergent hires.
  • Approve all new job requisitions and offer letter requests within ADP Recruitment after thorough review for accuracy and alignment with our established organization structure.
  • Work closely together with the human resources team to provide a yearly new staff orientation to all summer hires and develop and implement a mid-year and emergent hire new staff orientation experience (trainings are currently being held virtually due to COVID-19).

Employee Inquiry Response and Education

  • Serve as the primary HR TEAMmate supporting our employees with general inquiries and assistance; delegate out inquiries to other HR TEAMmates as needed
  • Identify commonly recurring inquiries for which answers should be posted on our Zendesk Help Center or for which Zendesk Macros should be created
  • Establish and maintain up-to-date human resource functional departmental documentation, standard operating procedures, as well as a comprehensive reports library
  • Manage and maintain the human resource section of the network’s intranet site. Seek out new opportunities to promote departmental resources
  • Provide support with completing employment verification inquiries in a timely and accurate manner
  • Work with the benefits specialist to make sure all new hires are enrolled in the correct benefit plans

Employee Offboarding

  • Provide off-boarding support to all employees transitioning away from our organization by providing employees with resources as well as updating ADP WorkforceNow

Worker’s Compensation Administration

  • Serve as point of contact for staff accident submissions to insurance carriers
  • Retain all worker’s compensation documents in secure employee files
  • Report out on worker’s compensation claims on a quarterly basis to executive directors and senior leadership

Human Resources Operations

  • Maintain human resources information system records and compiles reports from database, as needed; ensure accuracy and maintain employee personnel files – electronically and paper
  • Process and complete unemployment documentation on a timely basis; works with human resource manager and employee relations team as needed
  • Support internal and external audits by pulling documentation and testing selections; as well as recommending process improvements that might yield to improved audit findings.
  • Complete special projects as requested and support the overall day-to-day operations of human resource team

Qualifications

Must Haves:

  • 4-5 years of related human resources or compliance experience
  • Proven abilities to navigate ambiguous environments
  • Self-starter who loves to research and present solutions rather than merely identifying problems or inefficiencies.
  • Exceptional interpersonal skills (great customer service focus)
  • Strong organizational skills and extreme attention to detail
  • Ability to multitask, work collaboratively and maintain focus in a fast-paced environment
  • Highly effective communication skills
  • Maintains high standards of confidentiality of all employee records and information in accordance with HIPPA and other legal requirements
  • Bachelor’s degree

Nice to Have:

  • Bachelor’s degree in related human resources and finance area of study
  • Experience in NJ or FL public school system
  • Experience working with ADP Workforcenow
  • Experience working though audits or serving as an auditor
