Substitution: A bachelor’s degree in travel and tourism, marketing, public relations, communications, business administration, or hotel and restaurant management may be substituted for up to four years of experience. An associate degree in the fields above may be substituted for up to two years of experience. Duties Description Manage, schedule, and coordinate the use of space at the Adam Clayton Powell, Jr. State Office Building (ACP) and other downstate OGS managed facilities. Oversee program requests from clients and event organizers for date and space availability, confirming the scope of the event and program needs, coordinating catering needs, logistics and event support services. Review approved applications; collect letters of intent, certificates of insurance, county health permits, and any other pertinent information/documentation required per policy. Document all information necessary regarding the event and share with appropriate support departments within acceptable time parameters. Ensure all information has been received, client needs are met, and costs are covered. Act as on-site event manager, ensuring accurate support is provided from building staff and contractors throughout the planning, setup, and duration of the requested event. Perform specific tasks required to support the year-round schedule of events held at ACP including but not limited to Summer Stage in Harlem, Harlem-ween and the Harlem Tree Lighting. Tasks may cover a wide range of responsibilities such as pre-event site visits, researching local artists and potential business partners, on-site event support, coordination of performers and activities, coordination of deliveries, distribution of marketing, and assisting with vendor load-in and setup. Provide support to events happening at other downstate/NYC area OGS-managed State facilities as needed. Perform additional managerial, administrative, and operations support tasks as needed. Perform the full range of supervisory duties for subordinate staff. Some travel will be required. Operational Needs: Ability to work a flexible schedule which includes evenings, weekends, and holidays. Overtime is mandatory.
