JOB DESCRIPTIONThe Perioperative Scheduling Associate coordinates the scheduling of all elective surgical cases. Seeks assistance of the Manager/designee of the scheduling office in identifying cases, and when questions arise regarding questionable admission criteria. The Perioperative Scheduling Associate may also be assigned to the Main Operating Room where urgent and emergent cases are also scheduled.RESPONSIBILITIES

Uses multiple computer databases to create scheduling appointments/dates/times for surgery.

Collects patient demographics and insurance information and enters into appropriate computer system.

Schedules, rearranges or cancels surgery and updates the OR schedule as needed.

Uses allocated block time by surgeon or department to ensure that cases are scheduled in appropriate time slots and days.

Verifies MD OR schedules with their offices the day prior to surgery.

If assigned to the Main OR, duties include but are not limited to:

a. Scheduler will assist moving cases on the day of surgery due to cancelations, rooms changes etc in coordination with the Charge RN or Associate Director.b. Scheduler will also assist in scheduling urgent/emergent surgery cases by having physicians complete the Pink Slip request with all required fields completed. He/she will add this to computer system add on list and will work with the OR charge RN or Associate Director to have it assigned to a room when appropriate. He/she will contact Sterile Processing to alert them of the urgent/emergent case.c. Scheduler will answer the Main OR phone and will field calls as appropriate.d. During non-regular OR business hours (nights and weekends), the scheduler is the liaison for the on-call nursing team, OR staff and anesthesia team which includes notifying the on-call nursing team when a case is added. Assisting the nurse in a communicating with OR staff for room turnover, patient transport and pharmacy pick up.e. Scheduler coordinate the scheduling of organ transplants including but not limiting to communicating the case to perfusion, SICU staff, blood bank, nursing staff and anesthesia team. He/she is responsible documenting and registering organs in accordance with hospital policy.f. Scheduler will reconcile the OR schedule daily and document the volume numbers in the hospital database. He/she communicates the batch reconciliation report to OR leadership by email.g. Scheduler will prepare the OR Tracking Form and transport slips for all next day OR first cases. He/she prints and distributes the next day OR schedule to designated units within the hospital.h. Scheduler will confirm the OR staff on-call schedule on a weekly basis and communicate with the Associate Director when there are discrepancies.

QUALIFICATIONS

High School diploma/GED (Associates degree is preferred)

3+ years secretarial/clerical experience preferred in a medical practice environment, with good customer service skills
