Second Personal/Administrative Assistant

Top-tier $6 billion Greenwich based hedge fund seeks a Temp to Perm Second Assistant to support 2 Partner's current Personal/Executive Assistant. The TTP Second Assistant will assist with planning, organizing, and executing a wide range of executive, personal, and family-related tasks. This position will work out of the fund's Greenwich office but will also require some presence at properties in Connecticut & New York. Qualified candidates must have a car and drivers license and must be willing to travel to various properties in the CT and NYC area. Hours are 8:30am to 5pm with flexibility for overtime as needed.Responsibilities: Ability to work independently and as part of a team to plan, organize, and execute all manner of personal and executive assistant functionsAssist with coordinating domestic and international travel including car services, hotel arrangements, dinner reservations, activities, visas and flightsCalendar management via Outlook/Excel/Google Sheets including internal/external meetings, conferences, travel, dinner reservations and personal appointments including for family/childrenAssist with a variety of household tasks and frequently run personal errands including gift purchases, returns, car maintenance, and household shopping as neededCreate and update detailed excel spreadsheets for tracking of contacts lists, birthdays, holiday card mailing lists, household service providers, car maintenance, etc.Phone management and interaction with internal/external business associates and familyLiaise with office and household staff to make sure all needs are met seamlesslyMonitor and organize to-do lists, deadlines, etc. and regularly send updates and reminders to the Partner's current Personal/Executive Assistant, the partners and their families as neededAssist with business tasks and assisting with ad-hoc projectsMaintain discretion and confidentiality in all matters while meeting deadlines & maintaining accuracy & detailRequirementsExceptional judgment, written and verbal skillsDemonstrated success & significant experience with Google Suite and Microsoft Office SuiteValid Driver's license and clean driving recordAbility to establish priorities, maintain a variety of projects and activities simultaneously and to complete work in a thorough, accurate and timely mannerAbility to adapt to an ever-changing work environment by managing competing demands; ability to deal with frequent changes, delays or unexpected eventsFlexibility to travel around Connecticut/Manhattan as needed and work out of executive's personal residences or corporate officeConfidence, assertiveness and strong interpersonal skills Salary100k base salary plus paid overtime and discretionary bonusBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
