This role serves as the point person for the coordination of simulation activities and provides reception for the simulation center.Job Responsibilities
Plans, organizes and distributes simulation schedules, ensuring that the sessions are appropriately sequenced and timed.
Coordinates room reservations and provides on-site support, including assistance with audiovisual equipment set up and refreshments, as needed.
Facilitates simulation sessions ensuring a smooth sign-in process and participant experience.
Tracks simulation training events and maintains feedback surveys within the electronic survey system. Produces data reports for review as needed.
Tracks participant attendance.
Maintains simulation data and operating information systems.
Assists with the maintenance of content on internal and external web pages related to simulation program(s).
Answers phones, responds to inquiries and triages calls to appropriate personnel.
Coordinates simulation calendars and schedules appointments and meetings. Prioritizes requests for meetings and coordinates the necessary arrangements for meetings.
Maintains inventory of office supplies and/or equipment. May order supplies/equipment as authorized or ensure that needs are escalated appropriately. Receives supply orders and confirms accuracy of delivery. May assist with cost control.
Responsible for procurement activities related to goods, services, and/or equipment as needed.
Liaises with the finance team to ensure that invoices and payments are processed accordingly.
Responsible for reimbursement activities as needed.
Ensures that facilities and office equipment are in optimal and proper working condition. coordinates preventative maintenance and repairs as needed. May perform minor repairs if qualified and as needed. May advise on upgrades for performance enhancements.
Ensures the cleanliness and safety of the simulation center space.
Education
Bachelor's Degree
ExperienceApproximately 3 years of prior administrative support experience.Familiarity with statistical concepts and data management.Previous healthcare experience is highly desired.Knowledge, Skills and Abilities
Must be articulate and possess a professional demeanor.
Proven ability to work independently and under minimal direction but as an effective team player.
Demonstrated proficiency with MS Office Suite and database applications.
Flexibility to assume new duties with the growth and expansion of simulation activities.
Professional tone and clear speaking voice to articulate the detailed working of the center to prospective students and vendor participants.
