Event Catering Office Job Description

Overview: The Event Catering Office Manager plays a pivotal role in the smooth operation of the catering business, overseeing administrative tasks, client communication, and supporting the catering manager in ensuring successful event execution.

Responsibilities:

Administrative:

Manage schedules and calendars for events, staff, and deliveries.

Process invoices, payments, and maintain accurate financial records.

Handle client inquiries and requests via phone, email, and in-person.

Create and maintain event documentation, including contracts, proposals, and menus.

Coordinate with vendors and suppliers to ensure timely delivery of goods and services.

Client Communication:

Serve as the primary point of contact for clients before, during, and after events.

Understand client needs and preferences to create customized proposals and menus.

Manage client expectations and address any concerns promptly and professionally.

Collect and document client feedback to improve future service.

Operational Support:

Assist the catering manager with event planning and logistics.

Manage catering staff schedules and assignments.

Ensure compliance with health and safety regulations.

Maintain inventory of catering equipment and supplies.

Prepare reports and presentations for the catering manager.

Qualifications:

Minimum 2 years of experience in an office or administrative role.

Strong organizational skills and the ability to multi-task in a fast-paced environment.

Excellent communication and interpersonal skills.

Proficient in MS Office Suite and Google Suite applications.

Detail-oriented and able to work independently with minimal supervision.

Strong problem-solving and decision-making skills.

Ability to work flexible hours, including evenings and weekends.

Passion for the catering industry and providing exceptional customer service.

Additional Skills:

Experience in the catering or hospitality industry a plus.

Bilingual skills preferred.

Knowledge of event planning software a plus.
