Commercial and Residential Renovation Construction Group in Astoria seeks a full-time QuickBooks Data Entry and Administrative Assistant to support its current office staff.
The ideal candidate wants to learn the industry and has at least 2+ years of experience, a positive can-do attitude, and strong interpersonal and communication skills.
This is a full-time position: 8:30 AM-5:00 PM (Monday – Friday). It is in a small office setting and a business casual environment. The salary will be based on experience.
Responsibilities include but are not limited to the following:
Screen/answer phone calls as well as draft, respond to, and monitor emails
Schedule service calls and communicate/correspond and follow up with potential clients and vendors/subcontractors
Ordering, purchasing, and tracking materials for open projects and keeping track of orders
Scanning and E-filing. Keeping an organized file for each project.
Assist with submittals and bid packages
Managed Calendars for all the projects and the business owners.
Record day-to-day financial transaction
Accounts Payable - process and enter all invoices and maintain invoice controls
Process accounts receivable, including preparing AIA forms G702-G703.
Prepare monthly reconciliations and other reports as needed
Assist with other administrative duties as needed.
Qualifications and skills:
Excellent oral and written communication skills.
Proficient in Excel/Google Sheets and familiar with Google Drive.
Extremely detail-oriented and organized.
Extensive knowledge of QuickBooks data entry
Able to set priorities and to work independently or as part of a team
