We are working with a nonprofit downtown near City Hall on their need for a long term temporary employee, 6-8 months in duration. This person will be in the office 5 days a week with a schedule of 9-5. All the details of the role are as follows.
We need someone who is able to get to the office for a 9-5 schedule, be on time each day of work and be able to juggle a few different projects.
This individual will assist with large meeting logistics, assist with meeting scheduling, prepare check request, assist with large copying projects, assist the Director Administration with maintaining org charts and other projects.
Administrative duties:
-Replenish reams of copier paper and or toners in areas with printers and or copiers throughout office.
-Maintain paper inventory & notify Receptionist of re-order supply.
-Empty & stock paper supply in cabinet in Large copy room.
-Retrieve law journal from lobby on a daily basis and deliver to Executive director.
Reception duties:
-Relieve the receptionist for the following breaks:
Morning break @ 10:30 am – 10:45 am
Lunch break @ 1:00 pm - 2:00 pm
Afternoon break @ 3:30 pm - 3:45 pm
-Cover the switchboard the entire day when receptionist is out sick, personal day or on annual leave.
-Schedule Conference rooms & Visitors room Reservations when receptionist is out.
Mailroom duties:
-Distribute incoming mail to staff designated mailboxes
-Stamp all office mail placed next to postage machine and place them in out-going mailbox receptacle in lobby.
Kitchen duties:
-Restock kitchen supplies (forks, spoons, tea bags, c-fold towels, coffee, plates).
-Breakdown of empty supplies boxes and place them in the freight area.
