Private Equity firm located in Midtown Manhattan is seeking to hire a Temporary to Permanent Executive Assistant. During the temporary period through February 2025 this role would float between the Investor Relations team and the Legal and Compliance team. This position will start ASAP and require 4 days in office with flexibility to be in 5 days when needed. Hours are 8:30am-6pm with availability to work after hours as needed. Responsibilities: Meeting Materials - assembling information and materials; print and prepare (pdf, e-mail, bind, ship, upload, etc.) marketing presentations and reports for clients and prospectsCoordinate refreshments, guest registration with security and greeting of guests for in-office meetingsManage CRM database for supporting group to ensure investor and prospect meetings are captured in DealCloud to include contact information, dates, notes. Printing reports upon requestComplete expense reports via ConcurCompliance presentation approval process via AdMasterCoordinate Travel both domestic and international including scheduling flights, reserving car services, making dinner and lunch reservations, scheduling external/roadshow meetings, obtaining visas; must be able to reschedule, when both in and out of the office if needed, based on last minute schedule changes.Manage executives' calendars, making and rescheduling appointments and travel arrangements, ensuring they stay on schedule, acting as a true gatekeeperWork with other support team members, including affiliate executive and admins, providing general administrative assistance as neededAssist with ad hoc projects as assignedQualifications: Minimum of 5-years of administrative support experience, preferably supporting C-Suite executivesStrong Microsoft skills; Outlook, Excel, Word, and PowerPointExperience with Concur, CRM (DealCloud); ability to learn software systems quicklyBring confidence, can-do attitudeAbility to anticipating events, acting ahead of time; initiative-taking mindsetAbility to maintain confidentiality of all sensitive and confidential information and issuesAbility to be resourceful with little assistanceCompensation:While temp this would pay Up to $45/hour, If/when perm this role would pay between 120-130k DOEMedical, Dental, Vision (Employee Contribution)401k MatchPensionEvents/Company PartiesBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
