Boutique Venture Fund is seeking a new Full-Time/Permanent Executive Assistant/Office Manager to join its growing team. Candidates must have a minimum of 5-8+ years of applicable EA/OM experience, ideally within financial services, and a Bachelor’s degree is required. Ideal candidates should be smart, eager, extremely personable/outgoing, proactive, able to anticipate needs, possess a “no task is too big or small” mentality, and excellent communication skills (both verbal and written). This is an exciting time to join the fund and there is room for growth in this position down the line!

Salary depends on experience (130-150k base), plus discretionary bonus eligibility.

Hours are 8:30am-5:30pm, with flexibility as needed. Hybrid 3/2 work schedule.

Responsibilities:

Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; manage and maintain busy and ever-changing calendars.

Coordinate complex domestic and international travel arrangements and detailed itineraries (experience handling middle eastern travel).

Help research and liaise with travel agencies.

Prepare, process, and submit expense reports.

Organize lunch/arrange catering orders.

Help set up new office space.

Research and liaise with new and existing vendors.

Make sure proper paperwork is filled out and accurate.

Help with HR processes, including onboarding, paperwork for payroll, etc.

Potentially help with future reception/administrative hires

Assist with ad hoc personal work and/or projects.

Requirements/Qualifications:

Minimum 5-8+ years of applicable EA/OM experience, ideally within financial services; someone used to the high energy of the business.

A Bachelor’s degree is strongly preferred/required.

Excellent communication skills (both verbal and written).

Smart and eager.

Proactive; able to anticipate needs.

Someone who can anticipate needs of the executives.

Extremely personable; sense of humor; outgoing yet appropriate.

Know how/when to escalate action items and know when to take care of things on their own.

“No task too big or small” attitude.

Someone who has worn a lot of hats in a boutique office environment and enjoys that.
