AB Architekten, a full service architecture firm, is seeking a smart, energetic, confident, and highly motivated
Operations Manager to join our staff in Lower Manhattan. Position offered is part time, but may become full time.
Candidate should possess the following:
-Good knowledge of QuickBooks (required)
-Prior office management experience, but not required for right candidate
-A work history in creative or architecture environments is preferred, but not required
-Strong work ethic, ability to work autonomously
-College education, but candidate may also be a student
-Strong verbal and written communication skills
-Strong organizational skills and ability to multi-task
-Strong computer skills, including Microsoft Office,
Adobe Photoshop, Illustrator, and InDesign
-Graphic design skill is a plus, but not required.
-Ability to work independently
-Fluency in English
-Friendly and enthusiastic demeanor
Candidate’s responsibilities will include:
-General office administration and organization
-Receptionist duties
-Light facilities management duties, including liaising with building management
-Scheduling meetings, maintaining office calendars
-Act as liaison to other departments such as IT and HR
-Oversee planning of office parties and events
-Administrative assistance to the principal
-Management and maintenance of office literature and material libraries
-Maintaining office databases, including contact lists, timesheets, project tracking,
office supply lists, account passwords
-Ordering and obtaining materials/product samples and associated literature for design staff
-Ordering general office supplies
-Ordering messengers for various deliveries/pick-ups
-Managing office IT/phone system
-Creating and maintaining office marketing and presentation materials
-Assisting with office publication efforts
-Updating office website and maintaining office presence on design websites and social media
-Client billing, vendor, and consultant payments, interfacing with office accountant
-Serve as accounts payable/receivable officer and track incoming/outgoing invoices and payments.
-Coordination with office accountant on quarterly and year end basis
Applicants should be able to start within two weeks’ notice and must be authorized to work in the US.
Salary: 60k-75k, commensurate with skills and experience
(Part Time position salary to be based on yearly salary)
