Our client, an Investment Advisory firm located in Nolita Manhattan is seeking to hire a Temporary Receptionist to sit on the 3rd floor, also known as their client floor. This position will start in the beginning of December and continue through the end of March. There will be a high volume of visitors from clients to candidates, so it is important that this person has experience in a front-facing role. This position requires someone in office 5 days per week from 8am - 5pm with flexibility to cover the 8:30am - 5:30pm shift at times.Responsibilities:Manage building intercom system and direct visitors accordinglyWelcome guests, escort them to a conference room, offer a beverageAnswer phones and direct calls as neededOversee Firm's calendars and management of conference roomsAccept deliveries of packages, food, etc. and notify employees as applicableCommunicate effectively with guests and employeesMaintain a welcoming, professional, and neat reception areaSupport the Office Team in day-to-day administrative tasks and facilities maintenanceAssist in handling an array of office requests for dial-ins, conference rooms, thermostatadjustments, travel requests, shipping labels, etc.Work with vendors to ensure maintenance of office equipmentSetup and cleanup of weekly office lunchesSetup of conference rooms for internal and external meetings, which may include orderingfood and setting up rooms with appropriate tablewareCoordinate with IT department for AV needs for internal and external meetingsTidy up conference rooms after all meetingsRestock kitchen and conference room suppliesAssist with ad hoc projects (client mailings, packaging promotional materials, etc.)Assist with any firm gatherings and partiesProofread transcriptions and upload them into our internal research databaseMaintain daily logs for the team and report stats monthlyDistribute incoming mail and prepare outgoing mail and packagesMonitor security cameras throughout the buildingQualifications:A minimum of 2 years of experience as a receptionist or administrative supportBachelor's degree or secretarial schoolProficient in Microsoft Office - Outlook, Word, Excel and InternetA professional demeanor and positive attitudeStrong organizational and time management skills, with an ability to multi-task and prioritize in a deadline driven environmentKnowledge of operating office equipment (copiers, printers, A/V, etc.)Skilled typist with strong attention to detail, high accuracy and excellent proofreading skillsExcellent written and verbal communication skillsStrong work ethicProblem-solving mentalityComfortable working under pressureRate:$25 - $27/hrBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
