We are a large International Dairy Company and we are looking to hire a Receptionist/HR Assistant
Essential Duties and Responsibilities include the following. Other duties may be assigned
1. Answer the phone, welcome visitors.
2. Control mail and package distribution; prepare shipments, verify billing, follow up & negotiate contracts with carriers, and coordinate messenger services.
3. Coordinate intern visa process.
4. Collect information for the weekly and monthly itineraries; update as changes occur. Keep track of attendance records for all employees.
5. Responsible for ordering all office supplies & negotiating contracts with suppliers. Verify all bills.
6. Ensure all machines are working efficiently & liaise with corporate IT team, suppliers and vendors.
7. Manage outside storage facility.
8. Manage incoming requests for all marketing promotions & communicate with customers.
9. Organize various internal corporate events.
10. Keep meeting calendar up to date.
11. Assist with travel as well as visitors needs.
12. Perform kitchen duty; responsible for office maintenance.
13. Assist upper management as needed.
14. Type emails & memos, create or update PowerPoint docs, Excel spreadsheets, graphs, etc.
15. Retrieve reports and assemble relevant information.
16. Translate documents from English to French or vice-versa.

Skills:
Should possess strong communication and organization skills.
Ability to manage multiple projects and a fast changing environment.
Knowledgeable of Word, PowerPoint and Excel programs. Very good typing skills.
Excellent presentation skills with pleasant manners.
Highly motivated, dynamic, efficient, and fast learning.
Bilingual fluent in FRENCH - Spanish a plus.
