Title: Commercial Buildings Manager

Location: Queens, NY

FUNCTION

This is a responsible position accountable to oversee the day-to-day building operation.

PRIMARY DUTIES

Act as the Company's primary coordinator to assure that our efforts fully meet and exceed contractual property management obligations. Direct the day-to-day activities of loss prevention, risk management, code compliance, safety/security, maintenance, landscaping, snow removal and tenant build-out, as required.

Develop, track and maintain operating expense and capital budgets which reflect the owners’ objectives for operating the property. Further accountability includes administration of budgets, operational review and analysis of corrective actions needed.

Recommend and implement programs which contribute to either property profitability and/or cost containment.

Bid work for R&M and Capital Projects in accordance with Company policies. Keep accurate records of current space conditions including roof, HVAC, utilities and special circumstances.

Maintain operations manual with complete and accurate property files and records.

Procure services for the property. Supervise the work and approve invoices for all goods/services required.

Develop a network of emergency services and be available for 24 hour/weekend coverage as required.

Supervise on-site maintenance mechanics/engineers. Develop specifications and continually evaluate service needs and performance in all areas of maintenance and management.

Manage tenant relations and coordinate requests for repairs and maintenance, understanding of rent charges, lease issues and other tenant concerns. Assist in managing tenant "fit-up" work, as needed or assigned. Enter all related date into Company systems.

Liaison with other disciplines/departments within the Company’s to provide a team approach to the management of real estate. Participate in the activities not directly controlled by the manager but directly related to each property i.e.: insurance monitoring, leasing, marketing and promotions, capital improvements, accounting/financial reporting and legal services.

ESSENTIAL SKILLS ABILITIES, KNOWLEDGE AND EXPERIENCE

Demonstrate a positive, professional, and client-oriented attitude about the company with coworkers, tenants, clients, and the public whether contact is by mail, telephone, or in person. Constantly strive for improvement in work process and results to better meet client and ownership’s expectations.

Bachelor’s degree in business or a related field

CPM, or RPA designation is preferred along with strong client relations skills.

5-10 years work in property management is preferred. Building Automation Systems, and/or Building Structure Must have good knowledge of commercial real estate including a broad understanding of budgets, leasing, legal, marketing, construction, and tenant.

Proficient in Microsoft Word, Excel, PowerPoint and Windows. The ability to prepare detailed budgets and operating forecasts, as well as the ability to note deviations from financial plan, determine causes and to provide recommendations to the owner on needed action plans.

Strong written and verbal communications skills. Ability to understand and carry out industry specific written and oral direction. Positive, innovative approach to problem solving. Presents ideas in a clear, concise, understandable, and organized manner; negotiate, persuade, and modify opinion in order to reach the goals/objectives of the organization.

Ability to work independently as a project leader and as a team member. Ability to relate well with others even while working at a distance without the benefit of personal contact. Ability to work in an organized, efficient manner with a high level of accuracy, attention to detail, and follow-through.

Ability to exercise judgment and discretion is critical to success. Must be professional at setting priorities and coping with competing demands.

Excellent time-management and general organization skills.
