Primary Location: 830 Hendersonville Road, Asheville, NC

POSITION OVERVIEW

We are seeking a highly organized, communicative, and warm, friendly Studio Manager & Executive Assistant to serve as the central hub of communications, scheduling, and support for our dynamic arts education community. This individual will act as the primary point of contact for new and returning families, studio faculty, community members, and as the executive assistant to Kimberly C., the founding director—ensuring smooth, clear, and timely operations across multiple studio locations.

This position requires someone who is comfortable handling a variety of tasks, enjoys using systems to enhance productivity & organization, and who thrives in a fast-paced and mission-driven environment, and takes pride in being a thoughtful, detail-oriented team player. The role is hourly to start, with the potential to evolve into a salaried position with additional benefits for the right candidate.

HOURS & COMPENSATION

+ Official Starting Rate (following 14-day Onboarding): $22–25/hour (commensurate with experience and excellence)

+ Initial Onboarding Period: 14 days. Pay Rate During Onboarding: $15/hr.

+ Continued Probationary Period: 30 days, during which time we’ll refine expectations and determine long-term potential and trajectory

+ (To be 100% Clear: Official Pay Ratestarting at $22-$25/hr.begins immediately following the 14-day Onboarding Period)

HOURS

Total weekly hours to begin at 25–30, with the possibility to grow to 35–40 for the right candidate!

Benchmarks for success will be clearly defined and confirmed in collaboration during the onboarding period, aligning with studio priorities and the individual’s unique skills and goals.

KEY RESPONSIBILITIES

Front Desk & Communications:

+ Serve as the central communications point for the studio, responding to inquiries via email, phone, and text

+ Greet and assist families and students in person during scheduled hours

+ Draft and proof outgoing communications and internal memos

+ Coordinate studio scheduling and rescheduling

+ Support registration, enrollment, and billing processes

Administrative Support:

+ Maintain online records and calendars (Google Workspace, CRM systems)

+ Help organize studio supplies and printed materials

+ Coordinate faculty needs and availability

+ Utilize simple systems for record-keeping, inventory, and scheduling

Logistical & Facility Management:

+ Support studio setup and organization across our locations (including 830 Hendersonville Road, Westgate, and Mills River). Note: this does NOT require regular on-site travel to all three locations.

+ Work with the director and facilities coordinator (Aaron) to ensure timely progress on setup, paint, repairs, and space improvements

+ Support light physical tasks (such as lifting supplies or setting up rooms) as needed

Support for the Director:

+ Prioritize and manage a daily/weekly task list from verbal or written notes

+ Provide executive assistance including scheduling meetings, tracking deadlines, and helping direct information to the right team members

+ Anticipate needs, and use Project Management tools to bring clarity to multi-step projects

IDEAL QUALIFICATIONS & CHARACTERISTICS

+ Excellent written and verbal communication skills

+ Familiarity with Google Docs, Sheets, and digital file systems

+ Social media comfort (posting & basic promotion, with assistance)

+ Friendly, inviting demeanor and excellent listening skills

+ Confident and professional phone and email etiquette

+ Great typing & proofreading skills

+ Able to work independently while maintaining frequent communication

+ Prior experience in the arts or with families is a plus, but not required

+ Prior managerial experience is also a big plus (though again, not required)!

+ Organized, proactiveand human, lol! You’ve got a good memory but also recognize that even the sharpest minds need systems. You take notes like a legend, ask questions without flinching, and believe proofreading is a borderline moral obligation. :)

Comfortable navigating new systems and software tools (including some level of AI)
