OVERVIEW: Local accounting practice has an immediate opening for a full-time (30-40 hours/week) office administrator who supports our tax, bookkeeping and payroll teams, reporting directly to the firm’s President/CEO.
For 23 years, our firm has provided small-and-medium-sized businesses in the Triangle area with tax planning, preparation and representation, accounting and financial reporting, business consulting as well as payroll, bookkeeping and Quickbooks software support.
RESPONSIBILITIES:
The office administrator is our first line of direct contact with our small business clients:
answering phones and managing all client communication (relaying messages and booking appointments)
arranging for daily pick-ups and deliveries by courier service
helping manage client portals and maintain electronic data files
maintaining the client practice management database
overseeing all paper files in short and long-term storage
coordinating with IT, telephone and cleaning vendors
ordering office supplies
data entry projects to support the payroll and bookkeeping teams
client and practice bill-paying
tax season back office management to support electronic document signatures and e-filing
DESIRED SKILLS & EXPERIENCE:
Qualified candidates must possess and demonstrate:
- At minimum, an Associate’s Degree and/or 3+ years of experience working as an office administrator
- Accuracy in data entry and a strong attention to details
- Ability to multi-task and plan/prioritize daily work to meet critical deadlines
- A positive attitude with curiosity and a problem-solving orientation
- Effective communication skills in order to interact with co-workers, clients and vendors effectively to manage expectations and ensure deadlines are met
- Demonstrated experience with (and high degree of proficiency with) Windows-based operating computer systems and Microsoft software (Word, Excel and Outlook); Quickbooks (desktop or QBO) experience a plus

You will be working on-site with limited physical contact with 1-2 staff members (other staff work remotely.)

Longer hours/Saturday work is mandatory in January annually due to busy season. We observe summer work hours from July 4th to Labor Day with 1pm office closure on Friday.
