The Office Coordinator Multi-Sites is responsible for coordinating daily administrative duties in multiple medical office locations ensuring efficient, consistent and professional patient flow.Your primary duties will include, but are not limited to:

Maintaining communication with patients, families, and other caregivers.

Assisting with patient admissions, transfers, and discharges.

Answering phones/triaging calls.

Scheduling appointments/diagnostic testing and surgical procedures.

Obtaining referrals/authorizations.

Coordinates reception, appointment scheduling, registration, charge entry, cashiering and medical records functions to promote the smooth, efficient flow of patients through the office.

Collaborates with coding coordinator(s) to ensure compliance with ICD-9 and CPT coding. Ensures accurate and timely processing of charges and denials. Troubleshoots billing problems.

Implements organizational policies and procedures. Identifies, analyzes and resolves work problems. Takes appropriate steps to solve patient and guest complaints or problems. Recommends, implements and evaluates patient satisfaction initiatives.

Ensures accurate and timely entry of registration data as well as accurate and timely collection of and posting of co-pays and account balances in accordance with policy.

Serves as liaison for practice and administration, billing service, IS, finance and other hospital departments.

Maintains strict control of expenses in accordance with the budget.

Assists in the reporting of payroll.

Prepares check requests for purchased items in a timely manner and works with Accounts Payable to process payments.

Monitors facilities to ensure they are safe, secure and well maintained. Ensures adequate inventory of supplies and equipment. Ensures offices are opened and closed according to procedures.

Identifies marketing opportunities and promotes office in a positive manner in the community.

Follows system and department policies and procedures with special attention to attendance and punctuality, confidentiality, dress code and display of ID badge, and safety.

Completes mandatory education and training in order to maintain organization and department specific competencies and requirements. Maintains applicable certification/licensure.

Travels to the multiple sites to provide support to office staff and or back-up to Practice Manager as needed.

Other duties as assigned

Education:

Associate's degree in relevant field or the equivalent on-the-job experience.

Certifications:

None required

Complexity of Work:

Knowledge of billing procedures and CPT and ICD-9 coding skills. Proficient with computer software applications (Word Excel) and medical practice management systems. Ability to troubleshoot and train others on the use of medical office systems. Excellent verbal and written communication skills and interpersonal skills. Ability to deal with patients, physicians office staff members, administration and the public effectively in a proactive manner.

Work Experience:

Three to five years? experience in physician office setting.

Physical Requirements:

Ability to perform work in a stationary position for extended periods

Ability to operate a computer and other office equipment

Ability to communicate and exchange accurate information

Personal Protective Equipment:

Follows standard precautions using personal protective equipment as required
