Legal Operations Manager

Sherwin-Williams is seeking a Legal Operations Manager to play a key role in the implementation of operational excellence and other strategic initiatives throughout its dynamic global Legal Department. Reporting directly to a Senior Vice President, Chief Counsel this role will help build and enhance the Department's operational culture, strategy, and performance. The Legal Operations Manager will be responsible for identifying, designing, and implementing process improvements and technology solutions to include the Department's financial, vendor, and information management systems. The individual in this position will have strong organizational and project management skills, be data driven and a strategic problem solver with the ability to negotiate compromises and to drive results. This role requires excellent communication, management, and interpersonal skills. The Legal Operations Manager will lead and support change at all levels, including to build relationships and regularly to collaborate with vendors, executives, in-house attorneys, support staff and other key stakeholders within the Company, particularly Finance and IT.

Core Responsibilities:

Work with leadership to optimize and manage the Legal Department's financial processes, including budgeting and forecasting, financial reporting and analysis, expense administration, e-billing, and matter management.

Own and optimize the Department's e-billing activity. Work with the Legal team, business teams and vendors to enhance data analytics and reporting capabilities to improve decision-making.

Own and enhance processes related to sourcing and vendor management, including activities such as contract renewals, law firm conflict waivers, working with attorneys to prepare and review requests for proposal (RFPs), vendor due diligence, new vendor setup, and implementing enhanced billing and matter management policies.

Work with leadership to analyze other existing processes and recommend best practices, identify opportunities for improving services to the business, streamline collaboration, create and automate workflows, and contribute to the accuracy and efficacy of Department data.

Facilitate centralized management and leveraged use of the Department's institutional knowledge. Organize and create standard operating procedures. Coordinate the drafting of internal guides, resources, and form documents. Create useful resources and trainings related to Department systems and processes.

Stay current on best practices in Legal Department operations. Lead and support change management efforts related to specific functional areas as well as larger Departmental goals. Educate, encourage innovation, and influence change. Foster a culture of sharing.

Coordinate processes and support for the hiring and onboarding of new employees, and processes for employee departures.

Support continuous improvement of the Department's performance management process.

Manage the Department's physical facilities, including to serve as primary liaison with building services for office space planning, business continuity, and emergency response plans. Coordinate administrative support staff to ensure maintenance of office space and timely acquisition and maintenance of equipment and supplies.

Provide direction and leadership regarding coordination of administrative support activities to the Department.

Support the culture of the team by managing Department events and activities.

Manage other assigned matters to maximize efficiency, with a focus on planning, monitoring, and reporting.

FORMAL EDUCATION:

Required:

Bachelor's Degree (from an accredited institution, college or university).

Preferred:

Minimum of a Bachelor's Degree (from an accredited institution, college or university) in Business, Finance, Information Technology, Management, or other relevant areas.

  • This role will closely align with business stakeholders and Global Business Process Owners to capture business requirements, elicit best practices, and define global business processes within OTC. The Business Process Manager will be responsible for assuring buy-in across the business teams, managing and ensuring the proper implementation of the functional business processes and standards. They will work in partnership with the Digital Technology (DT) organization as well as third party consultants to ensure a fit-for-purpose cloud application configuration and solution that satisfies standards for user experience. A successful candidate must be able to think broadly and connect the end-to-end processes yet be comfortable in the detail with a broad understanding of the process, how they are performed, where the levers are, and how they can be improved to ensure the process delivers the strategy of the business. This position can be based anywhere within EMEAI, working remotely. Responsibilities of the position include working within the Order to Cash workstream to: Global Business Process Management: Assist the Business Process Owners to define and standardize global business processes for enterprise customer account support, order management, pricing management and export order management and enable value realization for the global Enterprise Resource Planning (ERP) and associated boundary applications. Partner with Product Owners, DT resources, Consulting Partners, and key Business Stakeholders. Align key stakeholders on the direction of the global processes and build consensus. Identify and engage with Subject Matter Experts (SMEs) who represent all divisions and lines of business within all regions of the company to ensure representation. Work with SMEs to gather and document business requirements. Participate in on site discovery sessions. Record use cases for global vs. regional solutions including statutory and regulatory requirements. Build and document process workflows in enterprise document repository. Ensure processes align with data definitions and governance requirements. Identify gaps, conflicts, and partner with appropriate Enterprise Data owners to resolve. Develop methods to monitor, track and report key process indicators and develop appropriate governance policies to ensure process compliance. Coordinate with cross-functional leadership teams (project and business) on issues/concerns for upcoming process changes. Engage with partners and owners of related business functions and boundary applications as required. Participate in system integration and user acceptance end-to-end testing and raise concerns to leadership. Assist with validation and approval of data extracts and loads for testing milestones and go live activities. Participate in on-site project implementation as well as post go live support. Continuous Improvement Support global goals and initiatives via thoughtful process mapping using the enterprise document repository and Celonis process mapping tools, focusing on CI opportunities. Assist in developing Global Policies and procedures for key business processes to ensure strong internal controls. Implement best practices aimed at reducing waste, improving customer experience, and enabling individual and team productivity. Stay informed on the latest system updates that will impact existing processes. Champion the use of automation tools and process simplification.
