ACCOUNTING SPECIALIST

JOB SUMMARY:Responsible for performing a variety of accounts payable and related clerical duties. Receives, sorts, and proofs accounting documents and posts totals. Matches invoices to appropriate authorizing documents. Codes invoices with appropriate general ledger account numbers. Inputs invoice information into automated accounts payable application. Performs arithmetic calculations and reviews internal records. Prepares reports, maintains records and files, and performs additional accounting functions as needed.ESSENTIAL JOB DUTIES :

Assumes responsibility for the accurate and timely performance of accounts payable functions.

Reviews source documents and matches purchase orders, invoices, and receiving documents.

Codes invoices to appropriate ledger accounts.

Determines optimal payment dates and takes advantage of all discounts on invoices.

Reviews invoices to ensure they are correctly coded, properly authorized, and that there are no overpayments or duplicate payments. Ensures that approval authority is in accordance with purchasing policies.

Processes payments and obtains authorized signatures.

Performs accounting duties in accordance with established company policies and procedures.

Reviews invoices for accuracy regarding sales tax compliance and sales tax exempt purchases.

Assumes responsibility for effectively researching, tracking, and resolving (or properly referring) accounting or documentation problems and discrepancies.

Maintains regular contact with other departments to obtain information and/or correct transactions.

Provides assistance and support to company personnel.

Keeps management informed of any significant concerns or problems.

Assumes responsibility for establishing and maintaining effective business relations with vendors.

Assist Accounting Department personnel as needed.

Keeps management informed of transactions that are outside established purchasing policies.

Performs all Accounts Payable functions in an accurate and timely manner.

Ensure that all accounting errors, discrepancies, and violations in purchasing policy are promptly identified and resolved.

Perform accounting duties in accordance with established procedures and standards.

Communicates and coordinates effectively with other company personnel, with assistance provided where needed.

Develop effective business relationships with suppliers and vendors.

Informs management of area activities as necessary.

May assume other duties as assigned.

Ensures that work area is clean, secure, and well-maintained.

Performs general accounting duties as needed.

Maintains confidentiality.

Completes special projects as assigned.

QUALIFICATIONS:

Ability to speak, read, and write English

Able to use accounting software and spreadsheets

Adaptable and dependable with ability to follow direction and work cooperation with others

Previous experience with SAP 4.6

Display strong work ethic and positive attitude

Good math skills

Good verbal and written communication skills

Must be well-organized with good attention to detail

Must maintain a helpful and professional attitude and appearance

EDUCATION AND CERTIFICATIONS:High School Diploma or equivalent certificationAdditional bookkeeping coursework preferredEXPERIENCE REQUIRED:One to two years of previous accounts payable experience preferredTwo to three years of Microsoft Excel experience preferredPHYSICAL REQUIREMENTSACTIVITIES:Sedentary office work, sitting for long hoursTALKING:Must be able to accurately convey detailed information verbally, sometimes loudly or quickly.HEARING:Must be able to hear average or normal conversations and receive ordinary information.REPETITIVE MOTION:Must be able to frequently and regularly use wrists, hands, and or fingers.VISUAL ABILITIES:Average, ordinary visual acuity necessary to prepare or inspect documents, products, or operate machinery.PHYSICAL STRENGTH:Must be able to exert 10 lbs. of force occasionally throughout the day.WORKING CONDITIONS :Typical office environment, with no hazardous or significantly unpleasant working conditions.MENTAL REQUIREMENTSREASONING ABILITY:Ability to apply common sense understanding to carry out detailed, but uninvolved, instructions and to deal with problems involving a few different variables.LANGUAGE ABILITY:

Must possess a passive vocabulary of 5,000 – 6,000 words and be able to read at a slow rate.

Must be able to identify unfamiliar words in a dictionary for definition, spelling, and pronunciation.

Must be able to write complex sentences, using proper punctuation and appropriate adjectives and adverbs where necessary.

Ability to communicate effectively with others. Bilingual (Spanish) preferred.
