High Desert Chamber Music (HDCM), in Bend, Oregon, invites inquiries for a part-time contracted Administrative Assistant beginning immediately. We are a leading performing arts organization in Central Oregon in our sixteenth season of presenting high quality classical chamber music concerts. Our office is located in Downtown Bend, right next to the Pine Tavern Restaurant.

Position Description:

The Administrative Assistant (AA) works in close coordination with and reports to the HDCM Executive Director. The AA provides administrative support and performs a variety of clerical duties, both at the physical office and at select HDCM events in the community. They will be expected to handle a wide variety of situations, and may be called upon to train and oversee volunteer activities when necessary. An appreciation of classical music is encouraged, but no prior experience in a music related field is required.

The AA will perform multifaceted general office support and be able to handle the day-to-day operations of a non-profit organization. They will be the liaison between the Executive Director and visiting artists, volunteers, outside event personnel, the Board of Directors, and students/parents participating in our Educational Outreach programs. The AA will be expected to participate in 6 major events through the season (evenings).

A strong candidate will have the following traits: excellent writing and typing skills, interpersonal skills, professionalism, organizational skills, ability to multi-task, an eye for detail, ability to function with minimal supervision, a strong work ethic, and the ability to recognize people and names in social situations.

General Roles and Responsibilities:

Working knowledge of classical music concert procedures and expectations (can be trained)

Support the organization’s Executive Director to achieve its Mission and Vision

Must be proficient in Microsoft Word, Excel, and general online activities

Must be comfortable working on a PC and dealing with Google Drive, Google Docs, Google Sheets, and Microsoft OneDrive, Word, Excel

General scope of work includes: Office/computer skills for data entry and email; Ticket sales using credit card processing, Square Register and manual input; Work with graphic designer to update printed materials for events; Coordination at all major events; Assist with preparing Press Releases and other documents

Assistance with social media platforms Facebook and Instagram for HDCM

Apply for and receive an Oregon OLCC server permit - all fees covered

In conjunction with the Executive Director, represent HDCM at all HDCM events

Compensation and terms:

This is a part-time, contract position with some flexibility in hours. The range of work averages 10-15 hours per week, and weeks of events may run higher.

Hourly compensation will be $20 per hour, with the possibility of increase depending on responsibility. Annual ticket benefits include one pair of tickets to two concerts in the HDCM Concert Series.
