Nativity Lutheran Church in Bend, Oregon has an immediate need to fill our Parish Administrator position. This is a part-time position, 24 hours a week, 4 days a week. Anticipated wage is $21.88/hr.

The Parish Administrator plays a vital role in supporting the work of this congregation.
Experience level: Has had previous experience in office management and desktop publishing
KEY RESPONSIBILITIES:
As our Parish Administrator you will be responsible for all the administrative tasks associated with the church and the church office. You will either perform those tasks or oversee paid and volunteer assistants.
NECESSARY QUALIFICATIONS AND SKILLS:
Ability to work well with diverse people – especially those in crisis and/or need
Administrative skills – Have the ability to problem solve, plan, supervise and evaluate.
Organized, detail-oriented and responsible
Ability to facilitate communication among pastors, congregation and the community
Ability to direct Church Ministry Teams and other Task Groups to the resources needed to complete their responsibilities
Ability to facilitate communication between community members and congregational ministries
Skill in written communication
Creative abilities with computers and graphic programs
Proficient with use of Apple computer (Keynote, Pages, Excel and Word) and office equipment, website and desktop publishing proficiency
SPECIFIC JOB RESPONSIBILITIES:
Weekly Tasks:
Create weekly Worship Service Keynote in coordination with music ministers and pastoral staff
Prepare worship bulletins for services in coordination with worship teams and pastoral staff
Prepare weekly digital and print announcements, song sheets, scriptures, prayers, children bulletins, etc.
Notify people who have Worship Opportunity responsibilities each week
Maintain a record of weekly attendance and giving
Distribute mail
Refer individuals with special needs to appropriate resources and ministries
Keep current reference list of community resources
Receive and greet visitors during office hours
Answer and make telephone calls, giving correct information
Keep an ongoing record of visitors to Sunday Worship services
Prepare and send postcards acknowledging presence of visitors
Follow up with information regarding first time visitors
Update the website and social media outlets
Monthly Tasks:
Create monthly newsletter, calendar, and worship opportunities in coordination with staff and congregation
Coordinate monthly, quarterly, annual event calendars
Coordinate and schedule use of the facilities by congregation and outside groups and maintain a calendar of events
Oversee communication of the church programs through bulletin board and appropriate media outlets and notify parties of scheduling conflicts
Facilitate Council communication with congregation
Prepare baptism service bulletins, cards and certificates
Prepare and coordinate service bulletins for funeral, memorial and other special services
Keep congregational membership and mailing/email lists current
Yearly Tasks:
Negotiate leases for Council approval and monitor them during the duration
Maintain records of insurance and church vehicle driver information
Schedule back-flow tests and fire inspections and maintain certificates
Schedule maintenance of office equipment
Organize, prepare and produce the Annual Congregational Report
Prepare and distribute a Members and Friends Directory annually
Coordinate new member classes (Spring & Fall)
Prepare and mail congregational mailings
(Easter, Christmas, 3rd Quarter reports)
Review and sign Nativity’s Clear Communication Policies annually
Maintain congregational statistics as required by the Evangelical Lutheran Church in America and the Oregon Synod and report annually
WORKING RELATIONSHIPS:
Reports to and is supervised by the Lead Pastor
Recruits and oversees the work of office volunteers
Supervises the custodian & nursery attendants
Works closely with Music Ministry team
Works closely with the Personnel Committee

Bi-Lingual – English/Spanish
Familiarity with Lutheran Liturgy
