Job Summary: The Residential HVAC Install Coordinator is responsible for managing and scheduling all residential heating, cooling, and ventilation installation projects to ensure efficient, timely, and high-quality service delivery. This role serves as the central communication point between customers, installation teams, suppliers, and internal departments. The Install Coordinator organizes daily job schedules, confirms project details, orders required equipment and materials, and ensures all documentation is accurate and complete before and after each installation.

The coordinator proactively tracks job progress, resolves scheduling conflicts, supports technicians with logistical needs, and provides exceptional customer communication throughout the installation process. Success in this role requires strong organizational skills, a high level of attention to detail, excellent problem-solving abilities, and the ability to work in a fast-paced environment. The Residential HVAC Install Coordinator plays a key role in creating a smooth workflow, maximizing team productivity, and delivering outstanding customer experience.

Compensation: Up to $30 per hour, depending on experience

Schedule: Monday - Friday

Work Location: Redmond, OR. This is an onsite, in-person, position.

Key Responsibilities, include but may not be limited to:

Schedule and coordinate residential HVAC installation jobs, ensuring efficient routing and balanced workloads for installation teams.

Confirm all job details with customers, including arrival windows, equipment selections, payment selections, and access requirements.

Communicate daily with installation technicians to review schedules, job notes, and any special instructions.

Order and track all necessary equipment, parts, and materials to ensure they are ready prior to installation.

Maintain accurate job files, documentation, permits, and completion of paperwork.

Monitor job progress throughout the day and resolve scheduling conflicts or delays proactively.

Provide timely updates to customers regarding technician arrival times, changes, or job status.

Work closely with sales, warehouse, and service departments to ensure smooth project handoffs.

Coordinate inspections, permits, and follow-up work as required.

Verify that completed installations meet quality standards and that all required documentation is submitted.

Assist with warranty registration, rebate submissions, and equipment tracking.

Analyze scheduling patterns and recommend improvements to enhance productivity and customer satisfaction.

Support installation teams with logistical needs, including equipment pickup, delivery arrangements, and job site information.

Qualifications:

On-the-job training provided and/or assistance with obtaining your license.

Have verifiable work history and references.

Able to communicate professionally, clearly, and concisely with other team members, management, and customers in person, by phone and email.

Must be highly motivated, detailed oriented, able to multi-task, be highly skilled in problem solving and accurate resolutions, have a keen sense of urgency, be flexible, and demonstrate the ability to follow through on tasks timely and effectively.

Have a great attitude that blends well with a fast-paced, goal-driven environment.

Must be punctual with a clean presentation of them self and be prepared to work every day to provide reliable support for your team with excellent timeliness and attendance.
