Position Overview:
This position serves the Metropolitan Wastewater Management Commission (MWMC), a regional partnership between the City of Springfield, City of Eugene, and Lane County, including the MWMC Executive Officer/General Manager. Duties include setting up meetings, transcribing meeting minutes, sending out agenda packets and communications, confirming quorums and follow-up items, and updating the MWMC website at (www.mwmcpartners.org).
This position provides administrative assistance to the Environmental Services Division (ESD) staff, while maintaining electronic calendars, coordinating meetings and travel requests, including credit card purchases and receipts, and other duties as assigned. This position is employed by the City of Springfield, and reports to the Environmental Services Program Manager.
Summary of Essential Duties:
Serves as the Secretary to the MWMC, supporting the Commission and the Executive Officer/General Manager, and updates the MWMC website
Provides administrative support to ESD staff and the public, including coverage of the main phone line for ESD/MWMC.
Coordinates meetings, calendars, travel requests, including credit card receipts that are entered into the WORKS system.
Distributes the mail, maintains inventory of office supplies and guides staff to appropriate contacts and resources.
Performs records management for the ESD/MWMC, including records destruction at the appropriate time.

Training & Experience:
Associates degree or two-year technical certification in the field of business administration, environmental services, or a closely related field, and;
A minimum of 3 years’ experience in administrative support
Any equivalent combination of knowledge, skills, education and experience may be considered qualifying.
Preferences may be given for knowledge and experience:
Previous public sector experience
Public meeting standards and processes
Direct support of a governing board or commission
Transcription of detailed meeting minutes
Licenses and Certifications:
Valid Oregon Driver’s License by time of appointment
