Oregon Social Learning Center (OSLC) and OSLC Developments (ODI) is seeking an Executive Administrative Assistant to join a vibrant and friendly team. In this dynamic role, you’ll provide essential executive support for several committees, and the Boards of Directors, ensuring virtual and in-person meetings are seamless and productive. From preparing agendas and recording minutes to coordinating elections, arranging catering, and managing meeting logistics, you’ll play a critical role in maintaining efficiency and professionalism. You’ll also maintain handbooks, databases, and virtual meeting accounts while ensuring tasks assigned in meetings are followed up on. Additionally, you’ll take on general administrative functions like screening calls, managing schedules, preparing correspondence, and handling confidential materials. Special projects will provide opportunities to showcase your organizational expertise and versatility.

Requirements:
BA/BS degree with coursework appropriate to the position and at least 4 years related experience or equivalent combination of training and experience appropriate to the position.
Exceptional computer skills in word processing, spreadsheets, databases, and researching abilities on the Internet to accurately and effectively record and manage meeting minutes.

Your day-to-day:
Coordinate schedules, invitations, and responses for administrative meetings.
Create agendas, gather materials, and document minutes for committees and formal meetings.
Track approval processes for minutes, policies, and election timelines, including quorum, outcomes, and votes.
Maintain databases for ongoing projects and formal meeting records (SciC, MC, Boards of Directors).
Organize catering for formal meetings.
