Job Summary:
This position is responsible for the overall operations of the property. This includes ensuring efficient operations, overseeing supplier contracts, maintenance, lease administration, and monthly reporting. The Assistant property manager also creates a positive experience for the residents, associates, and clients.
Key Responsibilities:
Key responsibilities and essential functions in order of importance:
Ensure properties are maintained in good operational condition.
Work with site management team to ensure systems are properly maintained and tenant’s needs are addressed in a timely manner.
Oversee property related service contracts – if applicable
Responsible for assuring that capital projects are completed on time and within budget in cooperation with the construction group and/or third parties.
Maximize the value of the assigned properties by finding methods to reduce costs and increase efficiencies of building systems and services.
Responsible for assessing, developing and implementing short term, intermediate and long-term strategies which enhance value.
Responsible for ensuring that property specific compliance requirements are completed including requirements of ground lessors, third party lenders and bondholders, as well as any other investor requirements.
Support the property manager in providing new tenant orientation and ongoing enforcement of lease terms.
Manage the day-to-day operations of the property including resident satisfaction and retention, full resident lifecycle activities (e.g., lease administration, rent collection and delinquency management), property P&L, and property marketing in accordance with company standards.
Create a climate in which associates want to do their best by leading and communicating a shared vision with associates and providing coaching and development.
Provide monthly reporting to Asset manager regarding building operations and financial activity.
Complete annual property expense estimates and reconciliation process for assigned properties.
Monitor and Manage AP for the assigned properties.
Keep involved with community affairs and business conditions that impact properties in the assigned portfolio.
Assist with property tours when requested.
Assist leasing and development with lease negotiations, property expense analysis and operational implications.
Monitor and maintain vacant spaces for “show ready” condition.
Ensure tenant and emergency contact lists are current for assigned properties.
Implement emergency response plan at assigned properties.
Ensure all environmental permits and inspections are up to date for assigned properties.
Competitively bid contracts for property services.
Ensure documents are properly maintained on the Shared Drive.
Ensure all tenant and vendor COI’s are up to date for assigned properties.
Complete property inspection reports.
Complete tenant move-in and move-out documentation.
Coordinate tenant related services with site management team.
Serve in leadership and supervisory capacity.
Facilitate effective communication skills and direction.
Provide direction and support to property staff.
Establish positive relationships with property staff and partners.
Other duties and responsibilities as assigned by the Property Manager.
Qualifications:
High school diploma or ged
Previous experience at an apartment complex
Excellent communication and interpersonal skills
Strong organization skills with attention to detail
Ability to multi-task and prioritize effectively
Proficient in Microsoft office suite
