12pm to 5pm, Monday- Friday
Position Overview:
The purpose of this position is to assist in maintaining an organized, efficient, and professional office environment. This person is responsible for making reservations and responding to client calls and emails, concerning inquiries about price quotes and availability.
Essential Job Functions:
Responsible for answering multi-line phones in a professional, efficient, friendly manner. Provide information and anticipate guest's needs regarding quotes, services, and fleet availability to current and prospective clients and affiliates over the phone, by email and in person. Process reservations through the company reservation system, including sending confirmation emails and acquiring payment information. Checking future reservation paperwork for accuracy. Respond to emails and place reservations that are sent by email efficiently. Basic computer skills and understanding of windows systems for PC computers, including Microsoft Office, Excel and Outlook programs and knowledge of Internet operations. Assist dispatcher when needed to arrange schedules or assign drivers is a must.
Requirements:
Fluency in English (both verbal and written)
Good customer service
Strong communications skills
Great attention to detail
Dispatch experience is a plus!
Other skills/ abilities:
Familiarity with the Portland area and the tri-counties is preferred. Ability to handle a fast-paced, varied, and busy work environment. Ability to multi-task; such as answering the phone, writing down reservations and looking at pricing charts.
Positive teamwork attitude is a must
