Administrative Project Manager
Our client operates a fast-paced office environment with extensive contact with clients and employees. They demand the highest level of confidentiality and professionalism in safeguarding client and project information.
SUMMARY
This position handles the implementation of notification process and drafting declarations, of legal notices and other documents.
SCHEDULE: Monday - Friday 8:30am - 5:30pm
Hybrid schedule with no less than 3 days/week in office (Must be in the Portland, OR Metro area)
PAY: up to $30/hr for well - qualified candidates
RESPONSIBILITIES
Assist upper management with legal mailings and notifications with intention to manage process from start to finish after training.
Draft official and legal notices and declarations using templates, review documents, and create mailing lists and reports.
Work with the mailroom department to ensure all mailings are mailed timely and accurately
Work with accounting team to ensure all mailings are billed timely and accurately
Draft and proof declarations and/or notices for filing with the Court
Review online dockets related to declarations / mailings
Manage timelines, calendars, and tracking log
Assist with requests from clients and sales team in support of new business opportunities
Providing assistance to the marketing team on advertising strategy around specific notification outreach.
Strategize on graphic design work as it related to advertising needs (banner notices, social media ads, video creation, etc.)
QUALIFICATIONS:
At least 1 year consistent clerical, administrative or document management experience.
Highly organized, have a great attention to detail, be self-motivated, possess the ability to meet deadlines and works well in a high pressure environments
Attention to detail with excellent writing and proofreading skills
Experience with legal notice administration requirements and processes highly preferred
Experience with billing and mailing processes
Excellent computer skills and intermediate level Excel skills required
