We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant. This position will play a crucial role in providing excellent customer service and administrative support to our office. The ideal candidate will have experience working in a front desk office setting, possess strong organizational skills, and be proficient in computer literacy.
Responsibilities:
- Greet visitors in a friendly and professional manner
- Answer phone calls and direct them to the appropriate staff members
- Schedule and confirm appointments using our computerized system
- Manage the office calendar, ensuring all appointments are accurately recorded
- Vehicle maintenance management
- Collect and process payments
- Maintain safety records and ensure they are up-to-date
- Social media marketing - updating social media, website, web blogs, etc.
- Minor office cleaning with re-stocking and office inventory
- Perform general administrative tasks such as filing, scanning, and data entry
- Tracking and following up on material orders
- Provide personal assistant support to the owner and G.M. as needed
- Daily errands
Qualifications:
- Previous experience working as a receptionist
- Strong organizational skills with the ability to multitask effectively
- Excellent verbal and written communication skills
- Proficient in computer literacy, including knowledge of Microsoft software systems
- Familiarity with phone systems and ability to handle multiple phone lines
- Attention to detail and accuracy in all tasks, have a sense of urgency to get tasks complete.
- Ability to maintain confidentiality of sensitive information
- Valid driver’s license with good driving record
- Reliable attendance and punctuality
- QuickBooks’s experience a plus
