The Event & Volunteer Facilitator is a dynamic individual who spearheads the coordination of all facets of planning for internal and external events while nurturing and expanding our volunteer and donor base. This pivotal role demands exceptional communication, project management, and people skills to orchestrate seamless events that align with PCL’s Mission and Values. From conceptualization to execution, they will oversee every detail, including invitations, scheduling, vendor coordination, and fundraising initiatives, ensuring each event serves as a catalyst for advancing our organizational goals.

Position Type: Hourly, Non-Exempt, general office hours (8:30 am - 5:00 pm) with nights, weekends, and travel as scheduled or assigned

Wage: $22/ hour (annualized Salary of $45,760, paid every other Friday).

General Requirements:

Education and Experience: Bachelor’s Degree and/or at least 2 years experience in event management (both preferred).

Must be at least 18 years old when employment begins.

Pass a State/Federal Criminal History Check.

Background screening, including employment and education history.

Pre-employment drug screening (for the use of illegal substances in Oregon).

Valid Driver’s License with an insurable driving record.

Be able to be certified and maintain certification with First Aid/CPR.

Job Specific Duties:

Able to work with little direct supervision.

Excellent communication and interpersonal skills, including writing, proofreading skills, and speaking.

Proficient in utilizing Microsoft Office and G-Suites programs.

Able to utilize CRM and volunteer management software.

Self-directed, motivated, and able to stay focused on the goals of the people we support, the department, and the agency.

Be able to have flexible work hours with the ability to make last-minute changes.

Excellent critical thinking skills.

Able to handle stress, remain calm, and act quickly to resolve problems.

Ability to manage multiple projects and address changing priorities.

Project a positive, professional attitude.

Ensure all events, activities, and communications are in line with PCL’s Mission and Values, working toward Social Justice for all.

Have a love for special event management, be highly creative, provide outstanding customer service, be enthusiastic and professional,

and be able to build relationships with customers and vendors.

Responsible for all facets of internal and external event coordination.

Create detailed event plans outlining timelines, budgets, and logistics.

Negotiate contracts for event locations and vendors, oversee vendor performance, and manage payments.

Monitor event budgets and expenses throughout the event process.

Collaborate with marketing efforts to develop event promotion strategies.

Develop and implement strategies to initiate donor visits and fundraising calls, attract, recruit, and manage volunteers, including outreach efforts through various channels such as social media, community events, and online platforms.
