Medical Records Clerk

Description We are seeking a detail-oriented and organized Medical Records Clerk to join our team and contribute to our mission of excellence in healthcare. The Medical Records Clerk will play a critical role in managing and maintaining medical records to ensure accuracy, confidentiality, and compliance with regulatory requirements. The ideal candidate will be responsible for various tasks related to medical record management, including documentation, tracking appointments, obtaining lab results, and assisting with audits.Key Responsibilities:

Assure that all medical record information is protected and kept confidential in accordance with HIPAA regulations.

Ensure all medical records have a clear participant photo for identification purposes.

Coordinate specialist appointments by requesting consult reports the day after a scheduled appointment.

Upon receipt of consult reports, scan documents into the import queue, choose the appropriate treatment order associated with the report, and upload it into the medical record.

For specialty appointments completed on-site, follow the same process as above to ensure timely documentation.

Assist with scheduling both external and on-site appointments as directed by healthcare providers.

Obtain lab and diagnostic testing results and ensure they are properly documented in the medical records.

Track all appointments that were completed and update records accordingly.

Assist in conducting medical record audits to ensure compliance with internal policies and regulatory standards.

Prepare necessary documents, such as release of information forms, for patients and healthcare providers as needed.

Requirements

Qualifications:

High school diploma or equivalent required; associate degree in healthcare administration or related field preferred.

Proven experience working in a healthcare setting, preferably in medical records management or administration.

Knowledge of HIPAA regulations and medical record management best practices.

Strong attention to detail and organizational skills.

Proficient computer skills, including experience with electronic medical record (EMR) systems and Microsoft Office suite.

Excellent communication and interpersonal skills.

Ability to prioritize tasks and work efficiently in a fast-paced environment.

Commitment to maintaining confidentiality and protecting patient information.
