Administrative Assistant

PRIMARY FUNCTION:To streamline the EVP of Global Sales' daily activities by overseeing scheduling, communication, and administrative tasks. This role serves as a bridge between the EVP and internal/external stakeholders, facilitating efficient collaboration and contributing to the overall effectiveness of the global sales team.PRIMARY DUTIES:

Works closely and effectively with the EVP of Global Sales to keep him well informed of upcoming commitments, responsibilities, and following up appropriately.

- Completes a broad variety of administrative tasks for the EVP including composing and preparing correspondences that are sometimes confidential, arranging complex and detailed travel plans/itineraries/agenda, and compiling documents for travel related meetings```{=html}```

- Coordinates and assists in preparation of sales, regional, and sales manager meetings, in collaboration with other departments to gather information, data, and updates for sales-related projects and initiatives. Also drafting letters, coding invoices, memos, meeting minutes, reports, with accuracy and consistency in formatting and content.```{=html}```

- Act as the first point of contact for internal and external communications, screening emails, calls, and correspondence with a high level of professionalism using sound judgment and initiative of planned and unplanned situations based on the knowledge of executive's function.```{=html}```

- Track and support the departmental budget Enter information AX system accordingly.```{=html}```

- Monitor and manage expense reports (such as T & E), ensuring adherence to the company policies and guidelines.```{=html}```

- Organizes and keeps information in shared sales network folders (group calendars, print and digital collateral assets, photos, and other information as needed.```{=html}```

- Handle confidential and sensitive information with utmost discretion and maintain a high level of integrity.```{=html}```

- Prepare and maintain confidential quarterly Board of Director reports and well as records, and files on personal and company matters. Provide copies and distribute to CEO's assistant.```{=html}```

- Performing all duties in accordance with Company policies, practices, and procedures with high degree of tack and diplomacy. Assessing and acknowledging the urgency, importance, and priority of sensitive situation in accordance with the Company policies and procedures with a high degree of diplomacy.```{=html}```

- Perform related duties or special assignments as directed. Including maintaining and tracking automobile renewals, working with insurance companies, manage drivers and schedules.```{=html}```

- Preparation of graphic presentations using MS Office, PowerPoint, Excel, and Access.```{=html}```

- Assist and submit all yearly bonus programs.EDUCATION AND ADDITIONAL ELIGIBILITY QUALIFICATIONS:

High school diploma required, Associate degree or equivalent business-related experience.

Proven experience as an administrative assistant or in a similar role, preferably within a sales or corporate environment. One to two years of experience in relevant field.

- Prior experience in supporting senior executives or sales teams is a plus.

- Proficiency in Microsoft Office Suite (Word, Excel, Po erPoint, Outlook) and familiarity with office equipment and software. Demonstrated Proficiency with Microsoft Office Suite required with testing.

- Knowledge of AX operating system a plus.

- Knowledge of D365.

- Knowledge of Salesforce CRM.

- Ability to navigate highly confidential situations is required.This position is a full on-site, office hourly position located in Bradford, PA
