Executive Assistant, Global Labeling

The Opportunity:As the Executive Assistant, Global Labeling , you will provide support to CSL's Executive Director, Global Labeling & Global Regulatory CTA and senior team members. You will have the ability to leverage technology for efficient processes. This is a hybrid role, which offers a combination of an onsite and remote work schedule. #LI-hybridThe Role:

Calendar Management: coordinates and ensures efficiency in scheduling "gatekeeper" and "gateway" role, works closely with other admins.

Manage appointments, schedules and travel arrangements including itineraries to make best use of time.

Screens and responds to incoming correspondence, inquiries and phone calls and external visitors to the site.

Negotiations: able to interact with diplomacy (EQ) at a high-level to vendors, executives, and other staff.

Create and edit documents, spreadsheets, and presentations; prepare reports, meeting minutes and expense reports.

Gather and compile information for use in documents such as memos/letters, reports and presentations.

Create database and spreadsheet files to support monitoring.

Budget Management / Monitor and track expenditures in specified cost centers to ensure activities are conducted within established forecasts and budgets.

Remain knowledgeable of departments (Legal and Finance) policies.

Travel: provide travel arrangements within the Concur system as appropriate.

Expense: prepare monthly expense reports for review and submission as appropriate.

Co-ordinates meetings or conferences, locally and globally, including controlling the event budget as applicable. This includes travel and On-site coordination.

Event Planning: coordinates internal/external logistics and contracts for workshops and meetings.

Clerical: filing, supply management, generate announcements, reports, timeline, graphs, and presentations as requested. Ability to coordinate agendas for staff meetings, capture meeting minutes/track action items and follow up with team.

Ad hoc support: as required by team.

Your Skills and Experience:

Diploma or degree qualified in Business Administration/Secretarial studies preferred.

5+ years' administrative support experience including strong working knowledge of Microsoft Applications.

Knowledge of business operations.

1+ years of experience with Visio, Veeva, Teams and Share Point preferred.

Ability to work across a range of countries and cultures.

Ability to work with industry thought leaders.
