Maintenance Supervisor

SUMMARY

The Maintenance Supervisor is responsible for overseeing, inspecting, planning, scheduling, directing, and performing maintenance and repairs of the physical plant, apartment buildings, equipment, and building systems, including consulting with external contractors, making recommendations for maintenance projects, advising on budgetary requirements, providing technical support to staff, and managing after-hours emergencies.

SUPERVISORY RESPONSIBILITIES

Provide supervision and direction to staff engaged in building and grounds maintenance, carpentry, mechanical, plumbing, heating, air conditioning, and other maintenance and repair activities for properties and equipment.

Monitor, assign, and schedule maintenance tickets via BuildingLink software, and ensure timely updates of tasks within 24 hours.

Coach and train staff on maintenance policies, procedures, work plans, maintenance techniques, and safe work practices.

Manage and assess the performance of staff as part of the safety, productivity, and quality control process.

Organize staff work schedules, oversee their performance, and assist in employee annual appraisal process.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Manage the department’s day-to-day operations; plan, schedule and execute work assignments to ensure all maintenance work is conducted using BuildingLink, on time, and within the department’s budget.

Perform basic repairs and maintenance of electrical appliances/equipment, heating and cooling systems, basic plumbing, carpentry, masonry, paint/drywall, and apartment make-ready in compliance with the company’s procedures and safety requirements.

Conduct weekly inspections and maintenance of plant equipment (boilers, water treatment systems, electrical systems, fire rooms); maintain inspection logs in logbook or BuildingLink. Report problems to General Manager or applicable service provider immediately.

Assist General Manager in developing, planning, and updating maintenance policies, procedures, work plans, budgets, and health protocols for the department.

Lead the repair and maintenance of electrical appliances/equipment, heating and cooling systems, plumbing, carpentry, masonry, roof repairs, paint works and ensure that relevant pre-work is completed before third-party contractors perform their work.

Coordinate and supervise regular maintenance and emergency services on housing units and equipment with external contractors. Monitor the contractor's performance during and after work is complete.

Ensure that health and safety protocols comply with local, state, and federal laws, including EPA and OSHA guidelines, and are implemented and practiced by all employees.

Assess vacant apartments and coordinate efforts with housekeeping and maintenance teams to prepare units for move-in. Consult General Manager if major purchases are needed, such as appliances or carpet.

Provide excellent customer service by monitoring, acknowledging, responding to, and updating supervisor, team, and residents on work orders through BuildingLink within 24 hours.

Collaborate with the office staff as needed to ensure consistency in receiving work orders, reporting, and communicating with residents, management, and external contractors.

Order and maintain parts and supplies essential to business maintenance within the operations budget provided by General Manager.

Assist in the recruitment, hiring, and onboarding of staff.

Assists in estimating the budgets and costs of specific maintenance and repair projects for the department.

Respond, manage, and assist in after-hours maintenance and resident emergencies for scheduled evenings, weekends, and holiday coverage in accordance with company policies and procedures.

Conduct after-hour procedures such as securing the building, service elevator, and removing snow and ice from public walkways and sidewalks on and in front of company properties.

Follow schedule and procedures for on-call services ensuring all activity is recorded in the BuildingLink system.

Always maintain a professional personal appearance and adhere to company policies and procedures.

Make recommendations to General Manager for any improvements needed.

REQUIRED SKILLS / ABILITIES

Sound technical skills and ability to supervise staff and contractors engaged in carpentry, mechanical, plumbing, heating, air conditioning, and other maintenance and repair functions for various systems and equipment.

Ability to use technology to manage work requests and other required job functions.

Ability to consult with and advise contractors/third parties on the maintenance and/or repair of building systems, equipment, and physical plant.

Ability to perform well with minimum supervision and as part of a team.

Superior interpersonal skills with a polite demeanor toward staff, residents, guests, and property visitors.

Remarkable time management, organization, and critical thinking skills.

Excellent communication skills including the ability to present ideas effectively, both orally and in writing, and to delegate and monitor tasks.

EDUCATION AND WORK EXPERIENCE REQUIREMENTS

High school diploma or GED. Technical background from university or vocational school a plus.

HVAC, electrical or other training or certification may be required.

Minimum 5-year full-time experience in building trades, repair and replacement maintenance, or handy work.

Must possess knowledge of laws and regulations to follow health and safety protocols; OSHA Certified or willing to obtain OSHA certification.

Hands-on experience in using powered tools, hand tools, measuring instruments, welding equipment, hand trucks, electrical, or electronic testing devices.

Management and supervisory skills.

Must be willing to keep skills current through career training and professional development.

PHYSICAL REQUIREMENTS

Must be able to endure prolonged periods of standing and walking.

Must be physically fit and able to climb ladders, bend, or crawl into awkward spaces.

Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying, and moving objects that can weigh up to 50 to 100 lbs. or more following appropriate safety procedures. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary.

Must be able to work in unclean environments with fumes, dust, and poor ventilation while adhering to safety requirements and regulations.
