Forbes Management (www.forbesmanagement.net), a property management firm based in Shadyside is seeking a reliable and proactive Office Assistant to join our property management team. You will play a crucial role in supporting our property management staff. You will be responsible for administrative tasks and ensuring a positive experience for our tenants and prospective residents.
1. Greet visitors and answer inquiries and show apartments.
2. Answer and direct phone calls, take message and provide general information
3. Assist leasing agent in responding to Guest Cards and other prospective tenant inquiries received through Zillow, Apts.com, etc. via phone and email.
4. Handle office mail distribution, including scanning incoming vendor invoices to Accounts Payable
5. Schedule property tours
6. Maintain and update leasing files
7. Update and maintain accurate tenant information in property management software (Appfolio)
8. Order and stock office supplies
9. Provide excellent customer service to tenant and prospective residents
Qualifications:
- Previous office or customer service experience
- Proficiency in basic computer applications (Microsoft Office & Google Office Suite)
- Previous Appfolio experience is preferred (not required)
- Strong communications skills
- Organized and detail oriented
- Flexibility to adapt to changing tasks and priorities
