Travel & Expense (T&E) Program Lead Apply now » Date: Jul 24, 2024 Location: Greenville, SC, US, 29607 Shelton, CT, US, 06484-4300 Company: Hubbell Incorporated Job Overview The Travel & Expense (T&E) Program Lead will lead the Hubbell global Travel and Expense function to achieve world class Concur implementation and use of newest technology, as well as to provide excellent levels of customer service, productivity, compliance, asset management and technology deployment. The role serves as a key interface between Hubbell employees, business finance and operations teams, and the Finance organization to ensure objectives are met and internal customer requirements are satisfied on a regular basis. This position will interact with sourcing, treasury, the businesses, employees and our third party processor to ensure the delivery of value-added service delivery of travel services related to Citi and Concur. This position is also responsible for proper implementation of Concur modules as well as improving the payment processing for all Hubbell countries using the Concur program and Convera services. In addition, this position will develop, implement, and monitor monthly reporting to ensure proper funding to the banks and employee accounts. Overall, this T&E Program Lead should possess excellent interpersonal skills to partner and collaborate across the organization while maintaining excellent business partnerships and working relationships both within Hubbell and with and third parties such as Citi and Concur. Additionally, they should exhibit flexibility and willingness to take on new responsibilities and assignments as they are identified and to assist with various ad hoc projects as needed.#LI-SL1A Day In The Life

Manage the company travel and purchasing card program

Develop and implement best in class service levels and key performance metrics for the Travel and Entertainment processes.

Manage Citibank program and relationship through treasury function, ensuring timely and accurate payment of expenses

Manage third-party offshore service provider supporting the T&E function including monitoring performance and handling escalated issues and questions

Provide management reporting and maintain / develop dashboards for T&E spend

Ensure compliance with travel and purchasing card policies for all cardholders, maintaining and updating such policies when necessary

Ensuring necessary audits are performed to ensure employee compliance, including use of the Concur Detect analytics information

Manage Concur application configuration, including:

Understand the working relationship of the product from transaction import, expense creation, workflow for both travel and purchasing cards

Daily purchasing card assignment

Add new cost centers to configuration and remove obsolete

Support transition of new acquisitions to Hubbell’s card program and Concur

Process to update business units converted to SAP

Ability to research to resolve issues and determine root cause analysis and effective remediation

Monitor activity through reports and ensure necessary follow ups with employees on card issues, delinquencies, late fees, and other issues

Reconcile weekly extraction funding

Analyze Concur IDOC errors and work to resolve

Commercial Travel and Purchasing Program:

Have strong working knowledge of Hubbell’s managing accounts and the process to add new accounts

Communicate and work with Citibank representatives globally

Analyze MCC issues and implement action plans to address

Roll out a full re-training program to ensure all users understand creation of and resolution of issues to ensure compliance and minimize exceptions.

Identify process and technology gaps, develop new projects, gain approval and alignment with strong project oversight

Define requirements and select new tools/technologies to improve performance, services, and controls.

Accountable for the successful completion of transformation initiatives on time, within budget, and according to specifications

Provide support to the Sourcing team in their negotiations regarding contracts or rates with travel service providers

What will help you thrive in this role?

Corporate T&E lead with 7-10 years of experience in similar positions

Proven Concur configuration and systems administration experience

Experience with U.S. multi-national public company, ideally >$1+Billion annual revenue

Knowledge of international travel regulations, customs and currencies

Bachelor’s degree required

SAP experience strongly preferred

Strong communication and influencing skills, ability to lead large scale initiatives and projects with both local and executive management; ability to communicate with others

Demonstrated experience interfacing regularly with professionals at all levels of the organization, from manufacturing floor to senior executive office

Proactive and collaborative in management style and communication approach

Willingness and ability to adapt to the rapid business and organizational changes that accompany a high-growth environment

Strong project management capability with deadline focus

Knowledge of T&E reporting and processing

Working knowledge of MS Office and CTM/GDS solutions

Excellent communication (oral and written) and negotiation skills

Well-organized and reliable
