DEPARTMENT : TK Tank Services - Environmental Administrative Services Coordinator REPORTS TO : Facility Business Manager JOB SUMMARY : The Environmental Administrative Coordinator is responsible for managing the receipt/scheduling, documentation, and dispatch of environmental waste materials. This role ensures compliance with all environmental regulations, maintains accurate records, and coordinates logistics for the timely and safe transportation of waste materials. The ideal candidate will possess strong organizational skills, attention to detail, multitask, and a commitment to work closely with customers to provide service. KEY RESPONSIBILITIES (includes but is not limited to) : Waste Material Documentation :
Receive and document incoming and outgoing environmental waste materials.
Verify the accuracy of waste materials against shipping documents.
Maintain accurate records of all received/shipped materials in multiple databases.
Logistics and Dispatch :
Communicate with customers and internal staff to ensure timely arrival of scheduled inbound or outbound appointment slots.
Track and report on the status of dispatched waste materials, ensuring all necessary documentation is completed.
Coordination and Communication :
Coordinate the scheduling and dispatch of waste materials with various scheduling staff to ensure appropriate disposal.
Work closely with various departments to coordinate the receipt and dispatch of waste materials or service requested.
Communicate with suppliers, vendors, and disposal facilities regarding delivery schedules, discrepancies, and compliance issues.
Assist in the preparation of reports and documentation for regulatory agencies.
Coordinate with Accounts Receivable Associate to ensure service is not provided to a past due customer.
Assist Business Manager/Accounting Associate with various core responsibilities when time permits.
Process Improvement :
Identify and implement process improvements to increase the efficiency and effectiveness of the waste receiving and dispatch areas.
Participate in team meetings by contributing to the development of best practices for environmental waste management and efficiencies to enhance overall cash flow.
Qualifications :
High school diploma or equivalent. Accounting background is preferred.
Experience in waste management, logistics, or a related field.
Knowledge of environmental regulations and experience related to record keeping, dispatching, and coordination among various departments.
Strong organizational and record-keeping skills. Multi-tasking in a fast-paced environment is mandatory.
Proficient with written and verbal communication, as well as interpersonal skills.
Ability to work independently but must be able to work as part of a team.
Attention to detail and a commitment to accuracy. Error free data entry testing must be 95% or greater.
Cross training is mandatory in various duties assigned by the Business Manager.
Physical Requirements :
Ability to lift and move materials up to approximately 50 pounds.
Ability to stand, walk, bend, get up and down repeatedly for extended periods.
Work Environment :
Work is performed in a combination of office and plant environments.
Exposure to Non-Hazardous environmental waste materials/odors.
Hours of Work:
Typically, Monday through Friday, 8am to 5pm, but hours can vary. A company issued mobile device is required for during and after hour service.
Travel:
Errands to various local entities including but not limited to the Bank and Post Office.
Supervisory Responsibility:
This position has no direct supervisory responsibilities at this time. Management exercises the right to change this without notice.
