Description We are in search of an Office Manager to join our team in the construction industry at our Nashville, Tennessee location. This role involves managing office operations and procedures, ensuring project deadlines are met, and maintaining an orderly system for accounting functions. This position offers a long term contract employment opportunity. Responsibilities: Oversee and support all administrative duties in the office and ensure the office is operating smoothly Manage office supplies inventory and place orders as necessary Perform receptionist duties: greet visitors, and answer and direct phone calls Manage accounting functions including Accounts Payable (AP) and Accounts Receivable (AR) Utilize various software systems like Accounting Software Systems, ADP - Financial Services, Concur, CRM, and Dentrix Dental Software for daily tasks Take charge of customer service needs and inquiries, ensuring prompt and professional responses Maintain accurate customer credit records and process customer credit applications efficiently Manage internal staff relations and foster a productive and harmonious workplace environment Handle 'About Time' software for time tracking needs in the company Be responsible for answering inbound calls and directing them to the appropriate departments Requirements Proficiency in Accounting Software Systems Familiarity with ADP - Financial Services Experience with Concur Knowledge of CRM Proficiency in Dentrix Dental Software Familiarity with About Time Understanding of Accounting Functions Experience with Accounts Payable (AP) Knowledge of Accounts Receivable (AR) Ability to handle Answering Inbound Calls Prior experience in a construction/contractor industry is preferred Previous role as an Office Manager is advantageous Excellent communication and organizational skills Strong problem-solving skills Attention to detail and high level of accuracy Ability to multitask and prioritize tasks Strong interpersonal skills and ability to work in a team High level of professionalism and integrity Proficient in Microsoft Office Suite.
