The successful candidate for this position will have the opportunity to join UTA during an exciting period of growth and contribute as the university broadens its impact.Job Summary To contribute administrative support to the program director, provide office management for the Center for African American Studies ( CAAS ), process personnel appointments as well as time and attendance, manage financial transactions, schedule academic courses, and serve as an academic advisor to students minoring in African American Studies. Responsible for supervising student employees, interpreting administrative decisions and university policies, and acting as a liaison between program, campus, and community.Essential Duties and Responsibilities

Office management and daily supervision of operations in CAAS . Process personnel appointments, process time, attendance, and payroll, create travel itineraries for faculty and guests, handle travel reimbursements, make departmental purchases, and manage financial transactions. Monitor budgets and reconcile account statements.

Relieve program director of a wide variety of administrative duties and large volume of decisions that require an understanding of the functions, programs, and policies of the university such as preparation and maintenance of scholarships, stipends, and scheduling academic courses in MyMav.

Serve as academic advisor to students minoring in African American Studies ( AAST ). Process students into MyMav as minors in AAST , aid students in course enrollment, serve as liaison to academic departments/units regarding administrative policies and procedures for cross-listing courses.

Compose complex correspondence (memos, brochures, newsletters, emails, branding, etc.) and disseminate information. Maintain CAAS website, supervise students, and process paperwork regarding compliance.

Required Qualifications

Bachelor’s degree with two years upper-level secretarial experience, OR High School degree with six years of increasingly responsible administrative, secretarial, and clerical experience including two years of supervisory experience.

Preferred Qualifications

Bachelor’s degree in African American Studies or other related field.

Experience working with college students in a university setting. Working knowledge of Microsoft Office, UT Share, MyMav, Canvas, Digital Measures, and other University programs, policies, and procedures.

Excellent computer skills, accuracy in all phases of work, including excellent communication skills (written and verbal).

Knowledge, Skills and Abilities

Must be highly-motivated and collaborative, capable of managing a significant workload and prioritized tasks.

Ability to manage multi-faceted projects with minimal oversight, intuitively understanding scope of various stakeholders’ needs and working within University standard operating procedures.
