Executive Assistant

Description As an Executive Assistant, you will play a crucial role in supporting senior executives and ensuring the smooth operation of the executive office. Your responsibilities will include managing schedules, coordinating meetings and travel arrangements, preparing reports and presentations, and handling confidential information with discretion. You will serve as a primary point of contact for internal and external stakeholders, effectively communicating on behalf of the executives. Strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment are essential. Your proactive approach and problem-solving abilities will contribute to the efficiency and success of the executive team.Requirements Duties/Responsibilities:

Prepare and edit correspondence, reports, presentations, and other documents.

Assist in the preparation, review, and management of contracts.

Maintain a database of contracts and monitor key dates and deliverables.

Act as a liaison between executives and other departments, clients, and stakeholders.

Facilitate effective communication and collaboration within the team and across the organization.

Handle incoming and outgoing communications, including emails, phone calls, and written correspondence.

Ensure timely and accurate dissemination of information.

Assist with special projects and initiatives, providing support and tracking progress.

Ensure a well-organized and efficient office environment.

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.

Required Skills/Abilities

Excellent verbal and written communication skills.

Exceptional organizational and time - management skills

Ability to handle confidential information with the utmost discretion.

Proficient in Microsoft Office Suite or related software.

Excellent interpersonal skills and the ability to work effectively with diverse teams.

Ability to work independently.

Education

Bachelor’s degree in business administration, communications, or a related field preferred

Minimum of 3 – 5 years of experience as an executive assistant or in a similar role.

Experience in healthcare, medical or related industry
